    Job Title: Administrative Assistant

     

    Performs administrative and office support activities for multiple branch employees. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. PC software skills required, as well as Internet research abilities and strong communication skills.

    Essential Duties / Responsibilities:

    Perform basic troubleshooting of wet based fire systems, and describe them to owners and service managers for repairs.

     

    + Attend to visitors and assist other staff in the organization with their inquiries.

    + Filing documents.

    + Internal email correspondence.

    + Sort and distribute incoming mail to areas and staff within the organization and dispatch outgoing mail.

    + Write business letters, reports or office memos using word processing programs.

    + Utilize in-house computer software.

    + Issue purchase orders.

    + Issue service work orders.

    + Answer telephone inquiries from customers as well as other branches.

    + Assist with scheduling as needed.

    + Operate a range of office equipment such as; photo copiers, computers and fax machines.

    + Provide support and back up to the current office administrator and other team members.

    + Available to work overtime if needed.

    Qualifications:

    Education / Work Experience:

    + High school diploma or GED is required.

    + 3+ years of administrative experience is required.

    + Construction industry experience is a plus.

    + Previous accounting experience is a plus.

    + Knowledge of general office machines and telephone systems is required.

    Computer Skills:

    + Computer Skills: Significant experience with Microsoft Office applications (e.g., Word, Excel, PowerPoint).

    Experience

    + 3 years: Administrative experience.

    Preferred

    + Basic accounting experience with A/P, A/R & Billing a plus.

    + Previous experience in the construction industry.
