Responsibilities:
GENERAL PURPOSE
Orders all contact lens and manage all contact lens responsibilities is regards to patient insurance, billing, payments, and scheduling at the Medical Center location as well as off-site locations of assigned areas. Travels to multiple locations, acting with a moderate amount of autonomy and independent decision making in support of contact lens responsibilities.
ESSENTIAL FUNCTIONS
+ Orders all medical and specialty contact lenses by accurately specifying lens parameters to the lab. Verifies lens specifications on delivery prior to patient notification. Enters parameters and contact lens specifications into patients’ medical record upon arrival of all new orders. Maintains database of lenses ordered and received. Maintains contact lens room. Stocks trial kits and restocks inventory and disposes of expired inventory. Audits and orders trial lenses and all other contact lens supplies, including Medical Contact Lens supplies, as needed.
+ Collects all contact lens charges from the patient and submits to billing department. Reconciles and process invoices with statements while monitoring credits, exchanges, and warranty period of orders.
+ Obtains insurance benefit coverage details via phone or online insurance portals. Relays all aspects of out-of-pocket costs, as well as insurance coverage details, to patient. Writes up contact lens purchase agreements with out-of-pocket cost and insurance coverage for each patient. Works with patient to obtain signatures on agreements. Introduces patient to Financial Assistance through URMC and supplies application and instructions to patients. Serves as liaison between patient and FAP when bills are erroneously sent to patients. Confirms with patient charges for upcoming appointments and services performed to help accurate billing. Records all conversations regarding financial coverage and patients’ decision on proceeding with appointments for provider knowledge. Submits claims for coverage via online insurance portals and faxed forms.
+ Answers correspondence and other inquiries. Calls patients to schedule appointments for contact lens pickup and schedules fitting with Optometrist. Confirms patient appointments and assists in ensuring patients arrive to correct location for exam. Serves as primary point of contact for patients regarding all questions surrounding medical and specialty contact lenses. Receives and submits all invoices to A/P and Finance for payment. Creates and maintains current purchase orders for vendors used in ordering.
+ Processes lenses after arrival and prior to patient pick up, including cleaning and conditioning lenses, inspecting for breakage, defects, and warpage. Performs Insertion and Removal (I&R) training on contact lens patients. Educates patients on how to insert and remove contact lens, as well as proper contact lens care. Provides starter kits to patients with proper supplies for successful and safe wear of lenses. Provides lab cleaning of contact lenses upon request.

MINIMUM EDUCATION & EXPERIENCE
+ High School diploma and 1 year of customer service experience required
+ Associate's degree preferred
+ Or equivalent combination of education and experience
