    GENERAL DESCRIPTION:

    A skilled clerical and technical position responsible for providing office support functions related to the County's Engineering and Traffic Operations, including receiving complaints from the public, issuing related work orders, and maintaining administrative control mechanisms.

    ESSENTIAL JOB FUNCTIONS:

    The following statements describe the principal functions of the job and its scope of responsibility but should not be considered an all-inclusive list of work requirements. Individuals may perform other duties as assigned.

     

    • Receives and directs all walk-ins and incoming phone calls placed to the Engineering Department, Traffic Operations Department, GIS Department, and Critical Infrastructure Division. Answers questions when knowledgeable

    • Performs routine clerical functions including typing, word-processing, filing, and operation of other office equipment. • Receives and routes all incoming and outgoing mail and packages.

    • Ensures all necessary office supplies are stocked and readily available.

    • Interacts with the Public with regards to Driveway Permits, Right of Way Permits, Utility Permits, etc. Responsible for handling cash, checks and credit cards received as payment for Engineering Services.

    • Prepares daily deposits and maintains various tracking reports.

    • Responsible for receiving paperwork for Vacation of Easements, Vacation of Right of Ways and Vacation of Plats.

    • Verifies Addresses for public and private agencies, Government Agencies and the general public. Responsible for providing clerical support to the GIS\Addressing Department.

    • Maintains a professional and safe unit and work area adhering to established safety policies and the image desired for the organization.

    • Follows consistently the Board policies and procedures.

    • Responds productively to change and performs all other related tasks as directed.

    KNOWLEDGE, SKILLS AND ABILITIES:

    • Knowledge of and the ability to efficiently operate office equipment, copier, computer (P.C.), adding machine, calculator, etc.

    • Knowledge of and the ability to efficiently use word processing and spreadsheet programs, Windows Soft-ware programs.

    • Able to learn technical information related to Public Works projects to answer basic questions from concerned citizens.

    • Able to operate effectively in an environment of constant interruption.

    • Must have good communication skills and business correspondence.

    • Ability to use good judgment and make independent decisions.

    • Ability to maintain effective working relationships with co-workers, managers, supervisors, directors, elected officials, vendors, and the general public.

    PHYSICAL SKILLS:

    The person in this position: Must be able to remain in a stationary position for 50% of the time. Must be able to frequently position self to reach files and other office items located on low shelves or the floor. Must be able to inspect and assess daily email and postal mail correspondence. Frequently communicates with the public, vendors, co-workers, managers, directors, Administration, and the Board of County Commissioners. Must be able to exchange accurate information in these situations. Frequently operates various types of office equipment to include, but not limited to a computer and copy machine. Occasionally ascends/descends stairs. Rarely moves materials and office equipment weighing up to 25 lbs. Constantly works in an indoor environment. Rarely works in inclement outdoor weather conditions. Rarely operates motor vehicle for up to four (4) hours continuously or intermittently.

     

    MINIMUM QUALIFICATIONS:EDUCATION AND EXPERIENCE:Three (3) years of clerical experience, preferably in an automated and computer-interactive environment.LICENSES, CERTIFICATIONS, OR REGISTRATIONS: Must possess and maintain a valid Florida Driver License. Must become a Notary Public within six (6) months of hire date. OTHER JOB-RELATED REQUIREMENTS:
