Description
We are looking for an experienced Administrative Assistant for our client in New Orleans, Louisiana. This position offers the opportunity to contribute to the efficient daily operations of the Human Resources department, supporting a range of administrative and organizational tasks. The role requires a proactive individual with strong computer literacy and excellent attention to detail. This is a short-term contract to full time employment opportunity.
Responsibilities:
• Assist the Human Resources Director and HR staff with administrative tasks, including scheduling meetings, managing appointments, and drafting correspondence.
• Oversee pre-employment screening processes, including coordinating interviews, maintaining personnel files, and ensuring compliance with records retention policies.
• Scan, upload, and archive employee training documents into electronic systems, ensuring data accuracy and accessibility.
• Input training completion data into the Payroll/HR system and generate attendance reports to identify anomalies for further review.
• Coordinate licensing and physical renewal processes for employees, managing appointments with medical facilities and updating records accordingly.
• Organize travel and registration arrangements for HR staff attending conferences, seminars, and training sessions.
• Prepare routine reports, forms, and documents related to HR matters, ensuring timely submission and accuracy.
• Serve as relief for front desk duties when needed, providing attentive and courteous assistance to visitors.
• Maintain inventory of office supplies and equipment, processing requisitions and orders as necessary.
• Support special projects and initiatives as assigned by the HR Director or Supervisor.
Requirements
• Proficiency in Microsoft Outlook, Excel, and Word, with a demonstrated ability to handle electronic filing and document management.
• Experience with scanning, uploading, and organizing files into digital drives.
• Strong organizational skills and attention to detail, ensuring accuracy in recordkeeping and data entry.
• Ability to communicate effectively, both verbally and in writing, with internal staff and external stakeholders.
• Familiarity with payroll and HR systems for data entry and reporting purposes.
• Capacity to handle sensitive information with confidentiality and professionalism.
• Prior administrative experience, ideally in a Human Resources setting.
• Ability to work independently and exercise sound judgment in performing complex tasks.
