Description We are looking for a detail-oriented Administrative Assistant to join our team in Washington, District of Columbia. In this position, you will play a key role in supporting the Executive Director and ensuring the smooth operation of day-to-day administrative tasks. This role requires excellent organizational skills, proactive communication, and the ability to manage multiple priorities effectively.
Responsibilities:
• Coordinate and manage the Executive Director’s calendar, including scheduling meetings, travel arrangements, and appointments.
• Provide logistical support for events, ensuring all necessary preparations are completed.
• Process checks and payments with accuracy and attention to detail.
• Draft and send acknowledgment letters to donors and handle outreach communications.
• Manage invoicing and maintain accurate records of transactions.
• Respond to inbound calls and emails, offering exceptional customer service.
• Perform data entry tasks to ensure the integrity and organization of information.
• Utilize Microsoft Office tools such as Excel, Outlook, PowerPoint, and Word for administrative tasks.
• Schedule appointments and maintain clear communication with stakeholders. Requirements • Proven experience in administrative support, preferably in a healthcare or nonprofit setting.
• Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word.
• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Excellent written and verbal communication skills.
• Familiarity with handling payment processing and invoicing.
• Ability to deliver attentive customer service and manage inbound/outbound calls.
• Experience in scheduling appointments and coordinating travel arrangements.
