Job Title: Administrative Assistant / Front Desk
Schedule: Monday to Friday, 8:00 AM - 5:00 PM
Start Date: June 9, 2025
Duration: June 9, 2025 – November 21, 2025
Job Overview:
We are seeking a professional Administrative Assistant/Front Desk Coordinator to support a high-profile office environment. Your role will be integral in managing front desk operations, providing administrative support to executives, and ensuring seamless meeting coordination. This is a temporary position covering maternity leave, with an anticipated end date in November.
Key Responsibilities:
+ Front Desk Management:
+ Answer incoming calls and act as the main point of contact for visitors, including VIPs such as the President and Chief of Staff.
+ Serve as the “first line of entry,” fielding inquiries with professionalism and tact.
+ Administrative Support:
+ Troubleshoot office equipment such as printers.
+ Manage office supplies and handle financial and personnel transactions through Workday.
+ Provide scheduling support for the Chief of Staff.
+ Meeting Coordination:
+ Schedule meeting rooms, set up technology for meetings, and ensure smooth execution.
+ Offer exceptional customer service and maintain a “white glove service” standard for the President’s meetings.
Requirements
Required Skills and Qualifications:
+ Technical Proficiency:
+ Familiarity with Workday for office transactions such as ordering supplies.
+ Experience using Google Suite (email, calendar, and other applications for higher education).
+ Soft Skills:
+ Welcoming and professional demeanor.
+ Strong attentiveness and ability to anticipate needs.
+ Poised under pressure, tactful, and discreet when handling sensitive information.
+ Flexibility to manage shifting priorities and a wide variety of constituents.
+ Experience and Education:
+ Minimum of 5 years of experience in a similar administrative role.
+ Bachelor’s degree preferred (flexible for exceptional candidates).
Additional Information:
+ Office Environment: You’ll be working in a professional setting housed within the President’s office alongside an Executive Assistant, the Chief of Staff, temporary staff, and some student assistants.
+ Dress Code: Business professional attire is required.
+ Interview Process: Virtual interview followed by an in-person meeting with key staff members.
