Description
The position requires a minimum of three days in the office per week. However, based on operational needs, additional in-office days may be required.
Primary Purpose of Position:
The Executive Assistant (EA) provides high-level support to the staff leader of a mission-driven Community Health Center. This hybrid role requires exceptional organizational skills, including the ability to effectively manage up, demonstrate high emotional intelligence, discretion, and an understanding of the healthcare environment or a desire to learn. The EA is a trusted partner who manages schedules, drafts criticaldocumentationand presentations, supports all the work of the Board and Board committees, and ensures smooth daily operations, partnering with the President and CEO to ensure she can focus on strategic leadership and community impact.

Essential Functions:
+ Executive Support
+ Manage and optimize the President and CEO’s calendar, including scheduling all appointments, meetings, and travel.
+ Draft and organize materials for meetings, presentations, and reports.
+ Handle confidential information with the highest level of integrity and discretion.
+ Draft, review, and edit correspondence, reports, presentations, and communications on behalf of the President and CEO and/or other Leadership Team members.
+ Partner with the President and CEO to develop and utilize tools to effectively manage workload and track and report on the progress of all projects and priorities
+ Board & Leadership Support
+ Coordinate logistics, draft and compile materials for monthly Board of Directors and Board Committee meetings, and weekly staff leadership team meetings.
+ Draft and distribute meeting minutes and notes, ensuring tracking, communication, and follow-up on all action items.
+ Serve as key staff liaison for the Board as well as the staff Leadership Team, staff, and external partners.
+ Operations & Communication
+ Screen, prioritize, and respond if appropriate to all communications and requests to the President and CEO.
+ Coordinate all Leadership Team initiatives and maintain all project timelines.
+ Support special projects as assigned by the President and CEO, including grant proposals, the organizational strategic plans, and community outreach efforts.
+ Travel & Event Coordination
+ Arrange travel itineraries and accommodations.
+ Plan and execute small events, conferences, and off-site retreats.
Requirements
• Education: Bachelor’s degree; equivalent combination of education and experience may be considered.
• Experience: Minimum 3–5 years of experience supporting a senior executive, preferably in a nonprofit or healthcare setting.
• Skills:
• Excellent organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite and common collaboration tools (e.g., Zoom, Teams, Google Workspace, ChatGPT).
• Ability to work independently and handle sensitive matters with professionalism and discretion.
• Preferred Attributes
• Familiarity with community health, public health, or nonprofit organizations.
• Commitment to the mission of equitable, accessible healthcare for all.
• Bilingual (English/Spanish or other relevant language) is a plus.
As a health center, NSCH ensures that all employees comply with the annual requirements for vaccinations and health screenings.
