    Summary The North Florida/South Georgia Veterans Health System is a comprehensive and integrated health care delivery system that provides quality clinical programs and services to Veterans. We offer primary healthcare services, as well as highly specialized, technologically advanced clinical care. The System includes two hospitals, three large satellite outpatient clinics, and several small community-based outpatient clinics. Responsibilities This position is aligned under Medical Administration Service (MAS), the largest administrative department in the North Florida/South Georgia Veterans Health System (NF/SGVHS). Duty Station The assigned duty station is Gainesville VAMC. Duties and program responsibilities include the following: The Medical Support Assistant (MSA) works collaboratively in an interdisciplinary coordinated care delivery model and performs receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients and maintains appointment schedules for one or more outpatient clinics. Receives and distributes all incoming calls to the Gainesville VA Medical Center and assists callers with questions about the Outpatient Clinics and Community-Based Outpatient Clinics throughout North Florida/South Georgia. Provide organizational information to in-house, as well as incoming callers using VistA, Outlook and employee directories in the computer (or printed directories). Incumbent must be able to interpret and communicate requirements of VHA Scheduling Directives and complete accurate scheduling responsibilities. The incumbent is expected to handle on a regular basis, difficult calls that require extensive personal involvement. Examples include: calls for emergencies such as code blue, code grey, emergency response team (ERT), ST-elevation myocardial infarction (STEMI) alerts, fire, bomb threats or other services; calls requiring tactful handling of confused, abusive or threatening individuals; calls from staff requesting nonemergency response by police or fire to a variety of situations; calls from the irate beneficiaries regarding appointments, lack of treatment, etc.; and calls from mentally incompetent, alcohol or drug addicted persons who require special attention by the operator while attempting to locate the correct social services personnel to handle the call. Deal with multiple phone calls or situations simultaneously, while remaining calm in stressful situations. The incumbent must have a keen awareness of radio traffic occurring throughout their tour of duty and display quick decision-making skills. Handle incoming and outgoing calls with speed and accuracy. Several calls must be handled simultaneously and difficult calls requiring prolonged personal involvement must be handled without assistance from the supervisor, who is not at the switchboard all the time. The incumbent is also responsible for participating in emergency management planning activities (disaster drills) conducted at the medical center, He/she may be an observer during planned drills. Additionally, the incumbent will be familiar with the Standard Operating Procedures (SOPs) to be used during drill activities. Incumbent must maintain the ability to perform the duties of a Medical Support Assistant throughout the medical center on irregular tours. The work requires the ability to work in a busy environment and multi-task, to produce results, ensure compliance, as well as process and follow-up on a very high volume of phone calls. Additional duties or tasks may be assigned by the supervisor to ensure efficient daily operations. Work Schedule: Tour of duty will be established based on demand of work area. Incumbent may be assigned to irregular tour to include work nights, weekends, and holidays determined. Example of tour: Monday- Friday 7am-330pm, 8am-430pm, 830am - 5pm, 4pm -12am Saturday-Sunday 8am- 4pm, 4pm - 12am. Virtual: This is not a virtual position. Experience and Education: (1) Experience: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR (2) Education: One year above high school; OR (3) Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Grade Determination In addition to the basic requirements for employment listed in paragraph 3 above, the] following (education and experience) criteria must be met when determining the grade of candidates: Medical Support Assistant GS-5 Experience: One year of experience equivalent to the GS-4 grade level OR Education. Four years of education above high school. Assignment. This is the full performance level for MSAs. At this level, the MSA independently performs a full range of duties [related to the delivery of healthcare services in an inpatient or outpatient setting. Advises clinical staff on current administrative processes. The MSA is responsible for answering phones, greeting patients, relaying messages to appropriate staff inside or outside of the unit, scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring 7 appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments [in] areas of responsibility; verifying and updating demographics and insurance information when [patients check-in for appointments. Coordinates administrative functions relating to emergency and non-emergency transfers to other VA facilities or private hospitals [and determines appointment type based on the patient's eligibility status (i.e., TRICARE, sharing agreements, collaterals, research patient, VA employee, etc.). Candidates must demonstrate all of the KSAs below: Ability to operate computerized programs and [systems] in order to enter, modify, and retrieve sensitive [medical and patient identifying] information PII into or from electronic health records, scheduling systems, and/or reports. Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients. Ability to schedule medical appointments in a clinical setting. Ability to work independently in the accomplishment of a wide variety of duties performing patient support work. Ability to communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers. Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution. SUBSTITUTION OF EDUCATION FOR EXPERIENCE: You may substitute education for specialized experience if you possess the following :At least four (4) years of Education above high school or a Bachelors Degree (You must submit copies of transcripts as proof) The full performance level of this vacancy is GS-5 Physical Requirements: The Medical Support Assistant work is mostly sedentary; however, some walking; standing, and carrying light items are required. Light filing, sometimes involving working close to the floor, is involved.
