    Job Description

    The role involves managing operational fiscal activities, including processing purchase orders, invoices, travel reimbursements, disbursements, and journal entries in legacy systems, with a transition to Oracle Financials Cloud post-go-live. Monthly reconciliation of administrative accounts is required to investigate and resolve variances, ensuring funds remain balanced. The position also entails preparing operating forecasts, multi-year projections, and ad-hoc scenarios to inform leadership resource allocation decisions, as well as assisting in annual budget load and mid-year adjustments. Interpreting federal, state, and UC regulations (such as HEA, Title IV, and the California Dream Act) and translating them into office procedures is essential, along with ensuring fiscal activities are audit-ready and align with Uniform Guidance and Cost Accounting Standards. The role includes designing streamlined workflows and online reporting tools for program coordinators, documenting standard operating procedures, and recommending data-quality checks to support the new CCOA structure. Additionally, training support staff on query tools, pivot tables, and basic analytics, and serving as a resource to unit leadership on fiscal policy questions during the Oracle cutover period are key responsibilities.

    Skills and Requirements

     

    Bachelors degree in Accounting, Finance, Business Administration, or related field.

     

    3+ years of progressive experience in higher-education finance or financial aid fiscal

     

    administration.

     

    Demonstrated fluency with fund accounting, reconciliations, and budget development.

     

    Working knowledge of federal/state financial-aid regulations and compliance

     

    requirements.

     

    Proficiency with large ERP or financial systems (Oracle, PeopleSoft, Banner, etc.) and

     

    advanced Excel skills (lookups, pivot tables).

     

    Ability to exercise sound judgment within defined policies and to prioritize multiple

     

    deadlines with minimal supervision.

     

    Excellent written and verbal communication skills. Familiarity with UC policy (e.g., UCOP BUS series, UC Path, UC travel policy).

     

    Prior supervisory or lead experience over professional or technical staff.
