Key Responsibilities:
Administrative Support
+ Manage calendar and schedule meetings, appointments, and events
+ Prepare agendas, take meeting minutes, and track follow-up items
+ Handle all correspondence (email, phone, and mail) on behalf of the Associate Executive Director
+ Maintain filing systems (physical and digital) and ensure records are updated and accessible
+ Coordinate travel arrangements and process expense reimbursements
Operations & Coordination
+ Assist with project management, ensuring deadlines and deliverables are met
+ Support preparation of reports, presentations, and proposals
+ Help coordinate community events, board meetings, and donor engagement activities
+ Collaborate with staff and community partners to ensure smooth day-to-day operations
+ Help oversee scheduling and logistical planning for rehearsals, performances, and programming
Office Management
+ Order and maintain office supplies and equipment
+ Serve as point of contact for vendors, contractors, and internal staff
+ Support hiring and onboarding processes for staff, interns, and volunteers as needed
+ Assist in maintaining compliance with grant reporting and record-keeping
Qualifications:
+ Minimum 2 years of executive or high-level administrative support experience
+ Experience in a nonprofit or arts/culture organization preferred
+ Excellent organizational, time management, and communication skills
+ Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace
+ Ability to handle confidential information with discretion
+ Passion for youth development, music, and the arts is a plus
Requirements
