Description We are looking for an experienced Accounts Payable Specialist to join our team on a contract basis in Napa, California. In this role, you will be responsible for managing vendor invoices, ensuring accurate data entry, and maintaining oversight of budget-related activities. This position requires strong attention to detail and proficiency in accounting software and spreadsheets.

Responsibilities:

• Process vendor invoices with accuracy and ensure timely payment.

• Enter purchase orders and requisitions to facilitate smooth operations.

• Manage a high volume of subcontractor invoices, approximately 12 per month.

• Collaborate with third-party management teams to validate invoices and secure necessary approvals.

• Scan and upload relevant documents for shared access among stakeholders.

• Maintain detailed records by entering invoices into the system.

• Monitor budgets and oversee general ledger drawdowns.

• Provide accounts receivable support by tracking funds received and ensuring proper allocation.

• Utilize software tools such as OneDrive, Teams, Colleague, and Excel for efficient data management.

• Import and export data in Excel, updating master spreadsheets while maintaining logical workflows. Requirements • Proven experience in accounts payable, including vendor invoice processing.

• Proficiency in accounting software systems and tools.

• Strong skills in Excel, including data importing, exporting, and spreadsheet management.

• Ability to manage check processing and ensure accuracy in data entry.

• Familiarity with budget oversight and general ledger processes.

• Effective communication and collaboration skills when working with third-party teams.

• Detail-oriented approach to scanning, uploading, and maintaining financial documents.

• Knowledge of accounts receivable processes and fund allocations.
