Description We are looking for a highly organized and proactive Office Administrator to join our team in Hagerstown, Maryland. This role is integral in ensuring the smooth operation of daily office activities, maintaining accurate records, and supporting both clients and employees. The ideal candidate will bring strong communication skills, a meticulous mindset, and expertise in office administration and bookkeeping.
Responsibilities:
• Perform daily bookkeeping tasks such as managing accounts payable, invoicing, and recording cash receipts.
• Organize and maintain both electronic and physical filing systems for easy access and accuracy.
• Prepare detailed client settlement sheets and ensure timely processing of associated payments.
• Coordinate schedules for attorneys and staff, including setting appointments and managing calls.
• Serve as the primary point of contact for vendors, handling inquiries and ensuring smooth communication.
• Order and maintain office supplies to ensure the workspace is fully equipped.
• Compile, proofread, and revise documents and reports to ensure high standards.
• Manage incoming and outgoing mail, ensuring timely distribution and processing.
• Maintain and update office databases and tracking systems for efficient information management.
• Provide general administrative support, including creating and filing records, to ensure a well-organized office environment. Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Strong knowledge of QuickBooks Online for bookkeeping and financial tasks.
• Excellent organizational skills with a keen attention to detail and accuracy.
• Ability to communicate effectively, both verbally and in writing, with professionals at all levels.
• Demonstrated ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously.
• Calm and resourceful under pressure, with the ability to meet deadlines consistently.
• Familiarity with basic office equipment and practices, including scheduling and record keeping.
• Problem-solving skills and a proactive approach to addressing administrative challenges.
