Position Summary
Travel & Expense Team Lead is responsible for providing data analysis, primary administrative support and auditing of travel and expenses within the Organization along with communicating with the Travel Agency and Corporate Card Provider, to resolve any issues experienced by employees. The Travel & Expense Team Lead is responsible for fielding T&E team members’ questions before escalating to the T&E Team Manager, assisting T&E team members with expense challenges, and helping resolve expense concerns and escalations for T&E end users. The T&E Team Lead will act as a backup to the T&E Team Manager by engaging with vendors, handling complex travel and expense scenarios, and running team huddles and other team meetings when the team manager is unavailable. This role will also connect and collaborate with a diverse group of people within the division.
Job Responsibilities
+ Maintains compliance schedules, filing, and correspondence, including coordination to ensure critical deliverables are met within established timeframes to support the Company’s travel and expense compliance.
+ Coordinates cost control efforts relating to travel expenses identified.
+ Ability to collaborate with external company TMC – Travel Management Group, in order to accomplish internal goals and deadlines.
+ Writes, types, keys or otherwise enters information necessary to prepare correspondence, reports, contracts, and other documents.
+ Maintains record retention policy along with procedures to protect certain corporate documents for Accounting Department in compliance with SOX requirements.
+ Assists team with periodic research as needed such as expenses audits, worker’s compensation audits, and external audits.
+ Assist T&E team members with travel, expense, and policy related questions.
+ Assist T&E team members with complex travel and expense related scenarios.
+ Act as a liaison between end users and T&E team manager.
+ Act as a backup to the T&E team manager.
+ Assists as needed to perform other related duties and special projects as required.
+ Accepts other duties as assigned.
Required Qualifications
+ High school Diploma
+ 3+ years experience working a related field.
+ Proficient in 10 key and alpha/numeric data entry.
+ Strong understanding of corporate card program management
+ Experience with optimization and improvement of expense processes
+ Excellent communication, organizational, and analytical skills
+ Ability to work collaboratively with cross-functional teams
+ Solid understanding of project management methodologies
+ Ability to work in a fast-past, competing deadline driven environment, while maintaining a high level of personal accountability.
+ Demonstrated task management, prioritization, attention to detail.
+ Electronic meeting/calendar and travel planning coordination experience.
+ Proficient in Microsoft Office Suite, specifically Word, Excel, Outlook, and general working knowledge of Internet for business use.
Preferred Qualifications
+ Bachelor's degree in business, finance, or related field
+ Prior experience with GDS based travel functionality.
+ Ability to generate ad-hoc travel reports.
+ Highly self-motivated, self-directed, and attentive to detail.
+ Ability to work in a complex and matrix team environment; experience working in a team-oriented, collaborative environment.
+ Proven abilities in leading complex problem management and process analysis.
+ Ability to handle multiple tasks, set priorities, schedule, and meet deadlines.
+ Proven abilities in problem management, process analysis and root cause analysis.
+ Strong interpersonal and relationship-building skills, with the ability to manage up, down and across levels of the organization.

+ Must possess ability to sit and/or stand for long periods of time.
+ Must possess ability to perform repetitive motion.
+ Ability to lift up to 25 pounds.
+ Majority of work is performed in a desk/cubicle environment.

+ All job specific, safety, and compliance training are assigned based on the job functions associated with this employee.
Other
+ Willingness to work shift work and overtime is required.
+ Travel Required: Rarely
+ Weekends/Evenings/Holidays: Yes, occasional weekends and evenings required, especially during close and audit, if required to meet deadlines.
