Description

We are looking for a detail-oriented Accounts Payable Specialist to join our team in Albany, New York. In this Contract-to-permanent position, you will play a critical role in supporting the Finance department by ensuring timely and accurate processing of accounts payable and related financial tasks. This opportunity is ideal for someone with a strong background in accounting who thrives in a collaborative, mission-driven environment.

Responsibilities:

• Review and verify invoices for accuracy and proper authorization before processing payments.

• Enter invoices into accounting software and ensure timely payment processing.

• Conduct weekly and ad hoc check runs as required.

• Communicate with the Finance Manager to identify invoices requiring immediate payment and determine cash flow needs.

• Reconcile agency credit card transactions and petty cash accounts on a monthly basis.

• Prepare monthly general ledger journal entries and assist with end-of-month accruals.

• Maintain accurate data entry in accounting software, Excel spreadsheets, and Concur systems.

• Resolve invoice and payment discrepancies by coordinating with vendors and internal stakeholders.

• Serve as a backup for accounts receivable tasks, including tracking tenant payments and addressing delinquent accounts with program managers.

• Assist with audits by providing necessary documentation to external accounting firms.

Requirements • High school diploma or equivalent; an associate degree in Accounting or Business is preferred.

• A minimum of two years of experience in accounts payable or a related role.

• Proficiency in Excel and experience with accounting software; familiarity with Sage and Concur is a plus.

• Strong organizational skills and the ability to work independently under deadlines.

• Excellent communication and interpersonal skills to collaborate with vendors and team members.

• Demonstrated ability to analyze financial data and solve problems effectively.

• Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.
