Job Opening Date:May 20, 2025
Job Status: This position is full time - 32 hours. HRDC also has a "Wellness Hours Policy" which encourages full-time staff to use up to 2 paid hours weekly to work on their wellness.
Wage:$23.00-$26.00 / hour, based on experience
General Summary of Purpose of this Position:
Acts as a warehouse supervisor and service navigator of HRDC and community programs for Headwaters service area, monitors donations, and provides continuous availability of services and provisions to persons requesting emergency food, energy, and housing assistance from the Headwaters Area Food Bank. The position has the responsibility of keeping the facility safe and sanitary and ensuring the sufficient supply of emergency food for the Food Bank. Additional duties as assigned.
Primary Job Duties and Responsibilities:
1. Provides Emergency Food and HRDC program application assistance to clients (30%)
+ Interviews clients to assist in connecting them with emergency food assistance as well other appropriate HRDC emergency services
+ Makes appropriate referrals to other agencies.
+ Enters customer services and demographics into HRDC data system
2. Manages and maintains safe, sanitary, and efficient warehouse and food storage areas (30%)
+ Picks up, transports, and delivers bulk foods donated to and/or distributed from the Headwaters Area Food Bank
+ Keeps a food inventory to keep the shelves full by food rescue, food drives, and ordering food through MFBN and purchases.
+ Keeps accurate records through use of computer database of donations (incoming food) and outgoing food, including recording commercial donations, volunteer hours, client data and monetary contributions. Completes monthly reports and submits to Supervisor.
+ Prepares food and warehouse supply orders for approval by Director.
+ Works closely with the Gallatin Valley Food Bank to supply HAFB with needed items.
3. Oversees the operational assignments of approximately 20+ volunteers and 1 part time staff (20%)
+ Provides volunteer training and orientation and instructs work group members in necessary tasks and execution of proper procedures;
+ Develops spirit of cooperation and understanding among volunteers and work group members;
Provides a safe and sanitary working environment for volunteers and staff according to a designated cleaning schedule per food safety regulations.
4. Coordination of other duties (20%)
+ Plans and coordinates seasonal activity of HAFB Community involvement including community volunteer work groups;
+ Answers incoming calls courteously and helps access services as needed.
+ Provides outreach in the area for HAFB
+ Plans and implements fundraisers under direction of Supervisor;
+ Communicates through various means, both written and verbal, including written directives and memoranda, with all parties involved.

Education and Experience:
Education:The following course(s) of study or class work usually provides the required knowledge skills and abilities to perform the duties of this position:
+ Graduation from high school or GED is required.
+ Associate’s degree or equivalent from twoyear college or technical school preferred.
Experience:The following kinds of experience usually provide the required knowledge skills and abilities to perform the duties of this position:
+ Three years of progressively responsible work in program administration including budgeting, grant writing, and fund raising;
+ Demonstrated experience in cooking, nutrition, and food safety;
+ Managerial Serv-Safe Certification

Supervision Received:
+ This position operates under general supervision. The incumbent’s work is primarily assigned by daily workflow and operations. The incumbent is authorized to make decisions as to the timing and sequence of work and the work is performed according to established policies and procedures and/or within applicable laws, rules and regulations governing the tasks being performed.

This position has the following supervisory responsibilities:
+ This position has responsibility for assigning and checking work of volunteers.

Section IV - Decisions
Impact of Decisions and Errors Made by Position:
+ Decisions, final recommendations and/or errors primarily affect creation of major program and/or continuation of existing food bank programs.
+ Decisions, final recommendations and/or errors affect clients of one program.
Judgment Required to make decisions:
+ Requires considerable judgment to work out programs and approaches to major problems and, in general, perform duties wherein recognized general principles may be inadequate to determine the best procedures to follow or the optimum decision in all cases.
Exception Authority:
+ This position does not have the authority to authorize exceptions to program policy or procedure.
Section V - Financial Responsibility
Handles cash or checks:
+ Develops budget requests – budget may be in excess of $60,000;
+ Monitors expenditures and revenues for Headwaters Area Food Bank budget
+ Generates program revenue
+ Solicits grants/gifts/donations;
+ Responsible for completing claim forms and purchase orders;
+ Handles cash or checks from individual donors – may exceed $10,000.

The incumbent is responsible for the following personal contacts (either in oral or written form) when performing the duties and responsibilities of the position:
+ Daily interaction with co-workers and the public;
+ Interacts with Program Director weekly or more often;
+ Interacts with representatives of other service providers several times per month;
+ Interacts with funding agencies to provide information or exchange facts.
+ Interacts with governmental compliance or auditors to provide information or exchange facts;
+ Represents Headwaters Area Food Bank program with members of the press or media.
Confidentiality:
+ The incumbent regularly works with confidential and client data, which if disclosed, may be detrimental to agency/client interests. Release of such information may also violate disclosure laws.

The incumbent is exposed to the following unusual, potentially hazardous or unpleasant working conditions:
+ Works in temperature controlled office environment and warehouse where temperature may not be controlled;
+ Weekly or more frequent operation of a motor vehicle under all weather conditions;
+ Weekly or more frequent exposure to angry or violent clients or volunteers;
+ Weekly or more frequent exposure to unpleasant substances, odors or noises;
+ Weekly or more frequent requirement to work above ground level on a ladder or scaffold.
