    Description

    The SR Specialist, Fleet Services primary responsibilities are to execute all tasks associated with the administration of over 3,000 leased Fleet vehicles at the direction of North America leadership. This position is unique and does not exist in any other area of the company. The primary focus is to continually analyze financial impact to the company with Total Cost of Ownership (TCO), by evaluating key decision points while ensuring efficiency, cost avoidance/savings and compliance. Duties include management of daily new hire and termination changes and updates, transportation logistics, monitor of ordering, replacement, reassignment, disposal and re-marketing of vehicles. This role includes the administration of accident services program, including collaboration with drivers and vendors to determine approval of repairs/denials when required. You will communicate and enforce Fleet policy and procedures to ensure compliance by all drivers. As well as, provide regular consultative guidance and financial analysis to internal and external facing customers when requested. In addition, you will initiate and administer driver motor vehicle record(MVR) checks annually and execute audit and payment of Fleet invoices monthly. This role also encompasses a close relationship with Site/Security personnel to support facility vehicles needs.

    This position offers a base salary typically between $75,000 and $100,000.     Duties & Responsibilities

    + Responsible for replacement of vehicles and determination of proper vehicle level in accordance with approved model year vehicle selector grid.

    + Audits and initiates authorization of driver access to on-line system with Fleet Management Company (FMC) and provides ordering assistance to drivers regarding specific vehicle contents.

    + Maintains surplus/vacant vehicle inventory based on new hire and termination activity.

    + Evaluates most cost-effective disbursement based on sales force updates and alignments.

    + Carries out reassignment/delivery logistics to new hires ensuring driver safety and a high level of customer satisfaction is achieved.

    + Ensures lowest financial impact to company by managing assets effectively.

    + Minimizes providing rentals or purchase out-of-stocks to reduce added expense and avoid higher acquisition costs and fees.

    + Partners with key vendors including Fleet Management company (FMC), accident services, vehicle transport, remarketing/employee sales and automobile manufacturing (OEM's) vendors regularly to ensure services and systems are running efficiently and effectively.

    + Participates in regular vendor meetings to provide feedback and review performance and opportunities for improvement.

    + Provides beta testing and user feedback when necessary to improve system efficiencies and increase customer satisfaction.

    + Reviews chronic vehicle maintenance problems on a case-by-case basis with FMC and OEM's and evaluates financial impact to repair or negotiate potential buy-back if not resolved.

    + Audits and approves monthly billing invoices from FMC and accident services vendor including interim rental cars and motor vehicle record checks (MVR).

    + Ensures cost centers and sales hierarchy structure is updated and maintained during sales force realignments working with Success Factors and HR Central.

    + Invoices approach $40MM annually.

    + Evaluates all accident claims and determine total loss vs. repairs based on variable factors and cost effectiveness.

    + Collaborates with accident service vendor to determine best financial and driver productivity outcomes.

    + Informs Leadership/management of motor vehicle issues and recommend action to comply with policy and procedures.

    + Acts as content expert to provide guidance and financial information to HRBP’s, Leadership and internal customers on sensitive driver matters such as terminations and logistics, high and adverse MVR incidents and histories, DWI/DUI/OWI, fuel reports, vehicle leveling and accident claims, while maintaining confidentiality.

    + Provides guidance to enforce required actions to ensure policy compliance.

    + Performs as content expert to site service departments such as: Security, Grounds keeping, BIPI EHS, and BIVI Farm and R&D facilities to provide support for vehicle acquisitions, recommendations/replacements and maintenance guidance.

    + Acts as liaison and strategic financial advisor with customer and leasing company to determine potential cost savings and improvements when required.

    Requirements

    + High school diploma required. Professional Training.

    + Individual should possess five-plus (5+) year’s Fleet experience or similar industry.

    + Strong organizational and inter-personal skills, ability to multi-task, strong communication skills.

    + Knowledge of basic vehicle engineering and technology.

    + Ability to make decisive decisions, demonstrates initiative, must be comfortable working independently.

    + Demonstrate knowledge of sales force hierarchy and basic structure of internal organization.

    + Understands leasing company business and services, automobile manufacturer’s Fleet programs and various Fleet focused services.

    + Ability to travel periodically (overnight travel).

    Eligibility Requirements:

    + Must be legally authorized to work in the United States without restriction.

    + Must be willing to take a drug test and post-offer physical (if required).

    + Must be 18 years of age or older.
