    Who we are looking for

     

    Purpose

     

    The Business Support Services Manager will provide operational and administrative support to Medical Affairs team for high-priority global medical initiatives, reporting directly to Head of Global Business Support services .This role focuses on executing operations , enhancing operational efficiency, interacting with Medical team and cross-functional collaboration to support Medical team to deliver in very strict timelines with efficiency and according to compliance rules and internal SOPs and procedures.

    Main Responsibilities

    + Assist for contracting process and purchasing of services and goods according to procurement SOPs and policies Including approvals of contracts with KOLs and HCO and Transfer of value ensuring timely turnaround with legals and vendors

    + Assist for Advisory boards with vendor management, contracting, compliance and logistics

    + Assist for Congresses /conferences organization in relation to Organization of vendors, medical booth in alignment with the cross functional team

    + Responsible for Purchase requests and cost accruals process into SAP (PRs and SES and invoices processing)

    + Ensure monthly accrual alignment together with Budget owners and Finance BP and accounting through standard internal budget trackers files and costs control made available by Finance

    + Assist medical team for Grants, ISS in relation to contracts, payments and projects closeouts and reconciliations

    + Assist for Sponsorships contracting, compliance approval and payment monitoring

    Required Experience

    + 5 years of progressive experience in assisting, medical operations, or a similar role within the pharmaceutical, biotech, or healthcare industry, including at least 3 years in Medical Affairs

    + Excellent interpersonal, teamwork, and relationship-building skills

    + Excellent facilitation skills, with the ability to drive multistaholders activities

    + Self-directed with a proven ability to drive alignment on shared objectives

    + Highly organized with strong workload planning skills, capable of balancing multiple priorities in a fast-paced environment

    + Superior written and verbal communication abilities, tailored to diverse internal and external stakeholders

    + Ability to simplify and communicate complex issues

    Education

    Bachelor's Degree required
