The Confidential Executive Coordinator performs a variety of comprehensive, confidential, analytical, and administrative time-sensitive duties, assignments, and projects to ensure the seamless and productive functioning of the office. Reporting to the Executive Director of Human Resources, the ideal candidate will be a crucial front-line ambassador to support sensitive office operations. The ideal candidate will promote a welcoming and collegial office setting to the public and College community, maintaining a courteous demeanor and professional decorum while performing all duties.
In addition to the CUNY Title Overview information, other key duties include, but will not be limited to, the following:
+ Assist with managing the daily operations of the office to enhance organizational effectiveness and ensure confidentiality in all activities, including managing the daily schedule and complex calendar.
+ Coordinate activities and participate in special projects for the Executive Director.
+ Evaluate and prioritize phone calls, emails, letter requests, and in-person situations, and delegate urgent or exceptional ones to senior staff for resolution assistance.
+ Prepare meeting agendas, reports, memos, and forms; proofread documents for accuracy, completeness, and conformity to established formats; maintain routine and complex general and confidential files.
+ Assist with e-procurement, monitoring expenses, and processing invoices for payment.
+ Assist with updating the HR documents and maintaining current information on the department website.
+ Serve as divisional timekeeper by collecting and reviewing timesheets for approval.
+ Assist with tracking the University's mandatory training and follow up as needed.
QUALIFICATIONS
MINIMUM:
• Bachelor's degree required.
PREFERRED:
• Two (2) years of work experience performing substantial confidential, analytical, research and administrative work supporting a senior level executive in a higher education institution or other complex organization.
• Detail-oriented and accurate with strong critical analysis, evaluation, and research skills.
• Effective writing, editing and interpersonal communication skills with strong presentation and group facilitation skills.
• Customer focused, pro-active, flexible, and collaborative work style to successfully navigate a complex political landscape, and forge successful relationships and partnerships with diverse members of the university community and external constituents of various levels.
• Strong organizational and follow-through skills to develop and execute work plans, prioritize work, manage multiple assignments, and meet deadlines.
CUNY TITLE OVERVIEW
Provides administrative support as a confidential assistant to a Campus or University Executive.
- Coordinates office operations such as meetings, communications, events, and reports
- Maintains extensive files and records for the unit
- Maintains accurate calendars, schedules, and key dates
- Collects data for, prepares, and distributes reports and presentations using appropriate technology; runs basic system queries and reports
- Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials
- Provides clear communications on the Executive's behalf both within and outside the unit
- Performs related duties as assigned.
This position is excluded from union representation.

COMPENSATION AND BENEFITS
For appointments expected to start on or before 8/31/2025:
Salary range is $49,960 - $54,268 commensurate with qualifications, education and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
