Description We are looking for a detail-oriented and proactive Executive Assistant to join our team in Neptune, New Jersey. This Contract-to-permanent position is an excellent opportunity to support our organization’s mission by providing high-level administrative assistance to senior leadership, including the President and Vice President of Finance and Administration. In this role, you will also act as a liaison with the Board of Trustees and contribute to various HR and IT administrative functions.
Responsibilities:
• Manage meeting logistics, including preparing agendas, PowerPoint presentations, taking minutes, distributing action items, and arranging necessary resources such as food and videoconferencing tools.
• Oversee complex scheduling and calendar management for senior leadership, including coordinating travel plans and providing background materials for meetings.
• Serve as the primary liaison to the Board of Trustees, handling portal management, meeting coordination, documentation tracking, and expense processing.
• Organize and coordinate offsite events and functions, such as fundraising activities, staff training, and employee appreciation events.
• Arrange travel for conferences and leadership engagements, and manage monthly reconciliation of credit card and travel expenses.
• Collaborate with team members and leadership to ensure the smooth operation of office workflows.
• Provide administrative support for HR processes, including onboarding, offboarding, and recruitment activities.
• Coordinate monthly Town Hall presentations, maintain organized digital files, and assist with research and project management tasks.
• Utilize tools like CRM systems, ADP, and Kronos Timekeeping to support administrative and operational tasks effectively. Requirements • Proficiency in tools such as ADP, Cisco Webex Meetings, Concur, and Kronos Timekeeping systems.
• Strong experience with calendar management, including scheduling and coordination.
• Excellent communication skills for handling correspondence and conference calls.
• Advanced knowledge of Microsoft PowerPoint for creating detailed and organized presentations.
• Ability to manage travel arrangements and expense reconciliation efficiently.
• Familiarity with CRM systems and digital file organization.
• Demonstrated ability to handle confidential information with discretion.
• Prior experience in a role requiring multitasking and flexibility in administrative functions. TalentMatch®
