    The Human Resources (HR) Assistant is responsible for providing administrative support to the human resource department, including but not limited to employee onboarding, monitoring the HR mailbox, answering and directing phone calls, completing employment verifications, file maintenance, reporting, preparation for audits, and HRIS entry. They will assist the department in a variety of activities, processes, and initiatives, while maintaining a high level of security and confidentiality.

    As part of the Essential Functions for this role, the HR Assistant:

    + Acts as the primary point of contact for the HR phone system and is the primary greeter of the HR wing

    + Conducts the onboarding of new hires, including but not limited to the completion of new hire paperwork and I-9 forms, entering employees into E-Verify, entering new hires into ADP Workforce Now and applicable systems, and ensuring the completion of new hire files

    + Is responsible for ensuring personnel action forms (PAFs) are completed properly and entered into into ADP system once approved by appropriate parties; ensures employees have updated job descriptions and title change/promotion letters as needed

    + Performs a wide range of duties relative to the completion and maintenance of personnel files and ensures filing is complete promptly

    + Serves as the primary administrator of the HR email box, filters emails to the appropriate staff members

    + Prepares time-sensitive reports, including OIG verification, professional licensure verification, EEO1 report, Multiple Worksite Report, and other reports upon request of supervisors/departments

    + Monitors new hire reviews to ensure 3- and 6-month reviews are being completed by supervisors

    + Prepares personnel files for audits as requested

    + Responds to reference checks and verifications of employment status

    + Prepares documents and manages the exit interview process when employees leave the organization

    + Ensures that all federal and state compliance posters are up-to-date and displayed conspicuously at all Evergreen locations

    + Responsible for inventorying and ordering office and kitchen supplies for the department

    + Assists staff with basic interpretation of the Employee Handbook

    + Provides clerical and operational support to Human Resources staff

    + Assists in the completion of projects and serves as a back-up to other areas of the department

    + Other duties as requested

     

    Qualified Candidate will have an A ssociate degree in Human Resources or related field, and two (2) years of Human Resources/administrative experience OR an equivalent combination of education and experience that demonstrates the ability to perform the duties of the position; a degree with Human Resources experience is strongly preferred; must have f ull proficiency with Microsoft 365 and computer systems; experience in payroll systems, ADP Workforce Now, and DocuSign experience is strongly preferred.

     

    Job Type: Full-time, 9:00 to 5:00

     

    Required Education and Experience: A ssociate degree in Human Resources or related field, and two (2) years of Human Resources/administrative experience OR an equivalent combination of education and experience that demonstrates the ability to perform the duties of the position; a degree with Human Resources experience is strongly preferred
