    Job Summary

    The Lease Administrator will be the owner of Shake Shack’s database for Real Estate Leases (Lucernex) including overall database administration, data input, maintenance, tracking and reporting. The Lease Administrator will manage lease abstraction, monitor key dates and process all lease costs. Requires the ability to comprehend, analyze and interpret various Lease Documents and Lease financial rules. Must be able to discuss such documents and rules to both internal teams as well as Landlord representatives. This role will collaborate with all levels across the Company and be the point of contact on all Lease matters with Development, Facilities, Operations, Supply Chain, Legal and Accounting as well as auditors externally.

     

    Job Responsibilities and Duties

     

    + Directly responsible for Lucernex database and administration.

    + Abstracts lease documents and inputs and maintains data in Lucernex, including overseeing abstracts and inputs via a third-party vendor.

    + Establishes procedures and best practices for auditing and maintaining continual database integrity and tracking system performance metrics.

    + Creates, develops and maintains reporting, including critical date and key information reports for internal use across the organization and percentage rent sales reports for distribution to landlords.

    + Directly responsible for the setup/processing of all lease related charges including all RECURRING per the Lease and one-time charges from Landlord.

    + Monthly reconciliation of payment report and variance report to ensure accuracy in payment amounts.

    + Review and reconcile (desktop audit) Common Area Maintenance (CAM) and Real Estate Tax year-end expense reconciliations.

    + Ensure all billings are Lease approved and Shack level approved for services.

    + Cross-checks and reviews work of peers to ensure quality and accuracy of data.

    + Responsible for reporting sales and calculating Percentage Rent .

    + Prepare Covenants and Responsibilities Report (C&R) for all Shacks upon opening and as requested.

    + Resolves various requests by researching lease and gathering any related information.

    + Draft legal documents to include notices and Key Date Agreements.

    + Review estoppel certificate requests from Landlords and circulate to larger group for comment.

     

    Knowledge, Skills, Abilities

     

    + Preferred Bachelor's Degree

    + Knowledge of lease agreement terms and conditions from an operational, legal, and accounting perspective

    + Functional understanding and knowledge of commercial Real Estate lease administration

    + Ability to work in a high volume, fast paced environment with changing priorities and ambiguity

    + Strong organizational capabilities; ability to manage multiple priorities effectively with minimal supervision

    + Strong interpersonal skills; ability to interact effectively within an organization. Strong oral and written communication skills.

    Education or Certificate Details

     

    Bachelor's degree in Business, Real Estate, or a related field.

    Work Experience

    5+ years

    Related Experience

    + Strong demonstrated knowledge of Real Estate Lease administration databases and retail leasing, with Lucernex experience preferred

    + Experience with lease accounting rules and calculations

    + Effective oral and written communication.

    + Strong organizational capabilities; ability to manage multiple priorities effectively with minimal supervision

    + Strong interpersonal skills; ability to interact effectively within an organization.

    Pay Range - $85,290.00 - $111,990.00
