POSITION SUMMARY:
The Community Giving & Engagement Manager is responsible for the day-to-day administration of Kennebec Savings Bank’s charitable giving programs, including donations, sponsorships, and the Catalyst Grant initiative. This role manages the full lifecycle of gift requests—from intake to reporting—ensuring compliance with Bank and Foundation guidelines and maintaining accurate records. A key focus of this position is the planning, coordination, and execution of the Bank’s presence at community events, including ensuring appropriate representation and speaking on behalf of the Bank when needed. The Manager also collaborates with internal teams, fulfills sponsorship benefits, and supports outreach initiatives that align with the Bank’s brand and community engagement goals.
KEY RESPONSIBILITIES:
+ Request Intake and Coordination:
+ Serve as the primary contact for donation and sponsorship requests.
+ Intake and track requests received via SurveyMonkey Apply, email, mail, and in-person channels.
+ Ensure all necessary documentation is collected, saved, and prepared for review.
+ Gift Processing and Documentation:
+ Manage gift preparation and documentation according to Bank and Foundation guidelines.
+ Manage coordination for gift fulfillment with Accounts Payable and the Trust Department.
+ Maintain up-to-date records in records management software and internal tracking spreadsheets.
+ Event Management:
+ Plan and coordinate the Bank’s presence at community events, ensuring appropriate staffing, materials, and representation.
+ Attend community events to represent the Bank.
+ Speak publicly on behalf of the Bank at community events when requested.
+ Manage internal calendars, coverage planning, and logistics to support the Bank’s community engagement strategy.
+ Stewardship and Fulfillment:
+ Manage the fulfillment of sponsorship benefits including event tickets, banners, program ads, and logo submissions.
+ Coordinate delivery of sponsorship materials in collaboration with the Marketing team.
+ Serve as a liaison to nonprofit organizations regarding deliverables, timelines, and acknowledgments.
+ Reporting and Compliance:
+ Create weekly and quarterly reports on giving activity for senior leadership and the Foundation Board.
+ Prepare reports for CRA documentation in coordination with the Compliance department.
+ Assist in preparing the annual Foundation giving report and financial summaries.
+ System and File Maintenance:
+ Ensure accurate recordkeeping and documentation of all charitable gifts.
+ Monitor and maintain files for CRA eligibility, tax documentation, and acknowledgment letters.
+ Conduct regular audits of files to ensure completeness and compliance.
+ Cross-Functional Collaboration:
+ Coordinate with internal departments to ensure appropriate stewardship of major sponsorships and promote event involvement.
+ Work closely with the Marketing and Communications Officer to ensure alignment with brand messaging and external communications.
+ Special Projects:
+ Plan and execute the Catalyst Grant program.
+ Support additional community outreach efforts as assigned.
SUPPORT BANK PRODUCTS/SERVICES:
Maintain knowledge of current KSB products and services. Actively utilize as many Bank products and services as possible in order to fully understand their features and benefits and to be able to communicate effectively with customers and prospective customers.
Talk to customers and listen for “cues and clues” to determine needs; respond to customer inquiries and evaluate their needs; suggest Bank products/services to customers to meet their needs; make referrals to other Bank personnel as appropriate.
OTHER DUTIES:
Demonstrate reliable attendance and punctuality. Handle telephone inquiries and provide information to vendors and other departments in a professional and courteous manner. Attend and participate in Bank meetings. Attend internal and external training to improve skills and knowledge relevant to the position.

Requirements
EDUCATION/EXPERIENCE REQUIRED:
+ Bachelor’s degree in Communications, Marketing, Nonprofit Management, or a related field
+ 5+ years of experience in philanthropy with project coordination or nonprofit administration
+ Experience managing multi-step processes and tracking program outcomes
+ Strong organizational and project management skills with excellent attention to detail
+ Ability to manage multiple projects and deadlines with accuracy and efficiency
+ Strong written and verbal communication skills, including effective presentation and public speaking abilities
+ Ability to communicate diplomatically and professionally when representing the Bank at events or when responding to funding requests
+ Comfort navigating sensitive conversations and handling objections with tact
+ Excellent time management skills and ability to prioritize competing demands
+ Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
+ Experience in event coordination and nonprofit outreach is desirable
OTHER REQUIREMENTS:
+ Must possess a valid driver’s license, the use of a serviceable automobile that is properly registered and proper liability automobile insurance as required by state law.
+ Must be able to lift items of approximately 20 pounds.
+ Must be able to stand or sit for extended periods of time.
+ Must be able to spend extended periods of time operating a computer keyboard and working at a computer monitor.
+ Must be able use the telephone to converse with internal customers for extended periods of time; must be able to communicate clearly by telephone; must have good listening ability and skills.
+ Must be willing to complete some duties on nights and weekends for events, storm closing communications, etc.
+ Must have strong analytical and critical thinking skills.
+ Must be able to prioritize and organize workflow; must have good attention to detail; must be able to handle multiple jobs.
+ Must have a high degree of ethics and maintain confidentiality.
+ Must be friendly, courteous and sensitive to the needs of internal customers and coworkers.
