Job Title: Executive Assistant
Job Description
We are seeking an experienced and professional Executive Assistant to provide comprehensive, high-level administrative support to executive leadership. This role requires independent judgment, discretion, and a proactive approach to managing schedules, coordinating communications, and supporting strategic priorities. The ideal candidate is organized, resourceful, and capable of handling a variety of confidential and time-sensitive tasks.
Responsibilities
+ Deliver specialized administrative support to executive leadership including calendar management, meeting logistics, and communications.
+ Coordinate complex scheduling needs, travel arrangements, and event logistics.
+ Screen calls, emails, and incoming requests; prioritize and handle inquiries with professionalism.
+ Draft, edit, and format documents including memos, reports, presentations, and internal communications.
+ Attend meetings, take detailed notes, and track follow-up items to ensure timely completion.
+ Develop and maintain databases, records, and filing systems.
+ Act as department timekeeper and support payroll/timekeeping system entries when needed.
+ Ensure smooth communication and coordination within and between departments.
+ Handle sensitive information with a high degree of confidentiality and discretion.
Essential Skills

+ Minimum of 5 years of recent experience supporting executive-level leadership
+ Advanced proficiency with virtual meeting platforms (Zoom, Teams, etc.)
+ Proven ability to manage multiple competing priorities in a fast-paced environment
+ Excellent written and verbal communication skills
+ High level of professionalism and discretion when handling confidential information
+ Strong organizational, problem-solving, and decision-making skills
+ Experience with administrative tools, scheduling software, and timekeeping platforms
Additional Skills & Qualifications
+ Previous experience in a large corporate or healthcare environment
+ Familiarity with Workday or similar enterprise resource systems
Work Environment
The role offers a fully remote work environment, allowing flexibility and convenience. Pay and Benefits
The pay range for this position is $30.00 - $35.00/hr.
