Description We are looking for a detail-oriented and highly capable Executive Assistant to provide comprehensive support to senior leadership. This role requires exceptional organizational skills, the ability to manage complex schedules, and a proactive approach to handling a wide range of administrative responsibilities. Based in Palm Beach Gardens, Florida, the position offers an opportunity to work in a dynamic environment while maintaining the highest standards of confidentiality and professionalism.

Responsibilities:

• Oversee and coordinate the executive’s calendar, including scheduling meetings and organizing logistics across multiple time zones.

• Prepare detailed briefing materials, presentations, and agendas for various meetings and business trips.

• Arrange and manage complex travel itineraries, ensuring all details are accounted for.

• Support business development efforts by tracking key projects, deadlines, and follow-up tasks.

• Serve as a liaison with clients, vendors, investors, and internal teams to ensure smooth communication.

• Monitor and manage expenses, prepare financial reports, and handle other administrative tasks.

• Occasionally assist with personal errands and family-related arrangements as needed.

• Maintain strict confidentiality while handling sensitive information and documentation. Requirements • At least 5 years of experience as an Executive Assistant supporting senior executives.

• Exceptional written and verbal communication skills.

• Strong organizational abilities with a keen attention to detail.

• Proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools.

• Familiarity with QuickBooks Online for expense tracking and reporting.

• Experience in hospitality, distribution, or luxury service industries is an advantage.

• Must be based in or willing to work in Palm Beach Gardens, Florida, with occasional travel.

• A flexible, solution-driven mindset with the ability to remain composed under pressure.
