Description We are looking for a detail-oriented and proactive Executive Assistant to provide high-level administrative and strategic support to senior leadership. This Contract position, based in Seattle, Washington, requires someone who excels at managing schedules, coordinating travel, and ensuring seamless organizational operations. The ideal candidate will play a pivotal role in fostering communication across departments and maintaining efficient office management.
Responsibilities:
• Manage executive calendars by scheduling meetings, prioritizing commitments, and ensuring alignment with organizational goals.
• Coordinate complex travel arrangements, including transportation, accommodations, itineraries, and event registrations.
• Organize and support leadership meetings by handling logistics, preparing materials, taking notes, and facilitating communication with participants.
• Track and approve monthly individual expenses while ensuring timely and accurate reporting.
• Run errands as needed, which may involve driving to complete tasks efficiently.
• Collaborate with various departments to align organizational priorities and act as a liaison between executives and external stakeholders.
• Maintain office supplies inventory and liaise with vendors to address facility needs, including procurement, equipment maintenance, and repairs.
• Assist in planning and executing company-wide events, such as All-Hands meetings, in partnership with the Culture team.
• Contribute to the development and implementation of administrative policies, standards, and office practices. Requirements • Proven experience in executive-level administrative support, preferably within a fast-paced environment.
• Strong proficiency in tools such as ADP Financial Services, Cisco Webex Meetings, Concur, CRM systems, and Kronos Timekeeping.
• Exceptional skills in calendar management, correspondence, and coordinating travel arrangements.
• Excellent communication abilities, both written and verbal, with a meticulous and courteous demeanor.
• Ability to plan and execute conference calls and meetings effectively.
• Detail-oriented with strong organizational and multitasking capabilities.
• Comfortable running errands and managing personal appointments as needed.
