Your Specific Responsibilities:
The incumbent is part of a global public health organization and is expected to support the Florida Department of Health in Monroe County in its mission to protect, promote and improve the health of all people in Florida through integrated state, county and community effortsand its vision to be the Healthiest Statein the Nation. Furthermore, the incumbent
is expected to incorporate the agency values ofInnovation,Collaboration,Accountability,ResponsivenessandExcellencein all aspects of their work.
This is a technically varied and complex position responsible for assisting in numerous Environmental Health Programs in a variety of administrative matters. This position requires independent judgment operating within established policies and guidelines. Under the direct supervision of an Environmental Supervisor II, is responsible for accepting and processing OSTDS, water program and facility applications, maintaining pertinent electronic data bases, maintaining physical files for all program areas, answering the phone and providing assistance to the public, maintaining office equipment and maintaining office supplies at acceptable levels. The employee in this position is responsible for the following tasks:
Small Quantity Generator Program
+ Conducts verifications and notifications related to hazardous waste generators, ensuring compliance with regulatory requirements.
+ Performs data entry and maintains an accurate and up-to-date electronic database of program-related records.
+ Prepares and submits expense reports associated with program activities and operations.
+ Provides training to other personnel on program procedures, best practices, and regulatory guidelines.
Florida Healthy Beaches Program
+ Oversees data entry and ensures accuracy in environmental health records and reporting.
+ Prepares and distributes press releases related to beach water quality and public health advisories.
Administrative Assistant / Receptionist Responsibilities
+ Serves as the primary point of contact for the Marathon office, providing information to the public regarding all Environmental Health Programs.
+ Directs inquiries and refers clients to appropriate staff members as needed.
+ Manages incoming and outgoing office correspondence, ensuring timely distribution and follow-up.
Permit Processing and Record Maintenance
+ Processes applications and maintains comprehensive records for Environmental Health Programs, ensuring compliance with established regulations.
+ Monitors and updates various logs, tracks fee collection, processes billing, and issues facility and Onsite Sewage Treatment and Disposal System (OSTDS) operating permits.
+ Prepares financial reports, including the daily cash drawer reconciliation, fee sheets, and deposit documentation.
Office Operations and Supplies Management
+ Oversees inventory and procurement of office supplies, ensuring adequate stock for daily operations.
+ Coordinates maintenance and servicing of office equipment, including fax machines, copiers, printers, and scanners, to ensure functionality and efficiency.
Professional Development and Administrative Growth
+ Continuously enhances administrative skills by reviewing training materials, attending professional development seminars, and participating in staff development activities.
Time and Records Management
+ Accurately completes People First time entry and Health Management daily work records in adherence to required deadlines.
Additional Responsibilities
+ Performs other duties as assigned, including assisting with emergency response duties when required.

Qualifications:
+ Emergency Duty : Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
+ Confidentiality : Incumbent may have access to records containing Social Security numbers in the performance of their job duties. This position is required to maintain confidential information in accordance with the DOH and Monroe County information security policy, protocols, and procedures. + Driver’s License: Must possess a valid, unrestricted Florida driver’s license at all times during employment and report any violation to their direct supervisor upon occurrence.
