Description
Under supervision of the Visitor Engagement Manager, the Visitor Engagement Assistant is responsible for providing excellent customer service to visitors, assisting with the management and coordination of the events space, and ensuring a welcoming and efficient environment.
Principal Duties
+ Perform a variety of visitor support duties for Visitor Center, including but not limited to greeting and assisting visitors; providing information about the organization, services, local attractions, and upcoming events; answering phone calls and responding to inquiries; and processing sales transactions for merchandise.
+ Provide operations support, to include but not limited to sales support; attending events; assisting with department events; acting as on-site lead support during events at the Event Space; managing registration; conducting facility tours; assisting with event logistics to include ensuring equipment and materials are in place and functioning properly, and assisting with event setup, execution, and cleanup.
+ Maintain the Visitor Center and Event Space, ensuring the spaces are clean, organized, welcoming, and presentable.
+ Support the events team in managing event logistics, including transportation, accommodation, and catering.
+ Perform various administrative tasks such as collect and analyze feedback from event attendees and visitors to improve future events and visitor experiences; monitor visitor feedback and suggest improvements to enhance the visitor experience; and coordinate with vendors, suppliers, and venues to ensure all event requirements are met.
+ Assist the department with administrative support duties, including meeting appointments and calendaring logistics, setting up travel, distributing correspondence, reports, studies, forms, and other documents.
+ Assist with the fiscal aspects of the department, including processing departmental invoices, purchase orders, check requisitions, and expense reports/reimbursements, and performing entry or receiving data input functions.
+ Maintain accurate and organized record-keeping and file systems related to department operations and activities, performing tasks related to data entry and maintenance of information, document scanning, research, classifying, indexing, filing, storing, auditing, and other document management activities.
+ Perform other duties as assigned, including assisting with special projects (as requested).
Qualifications
Required:
+ High School Diploma or G.E.D., and three (3) years customer service, clerical, or administrative support experience related to the area of assignment, or an equivalent combination of education and experience
+ Proven experience in customer service, hospitality, or event coordination
+ Strong organizational and multitasking skills with excellent attention to detail
+ Exceptional communication and interpersonal skills
+ Ability to work under pressure and meet tight deadlines
+ Proficien t in Microsoft Office Suite
+ Availability to work flexible hours, including evenings and weekends, as required .
+ Ability to lift 20 pounds and stand for extended periods of time .
Preferred:
+ Experience working in a visitor center, museum, or similar environment .
+ Knowledge of local attractions, history, and culture to provide accurate and engaging information to visitors .
