    Long Creek Youth Development Center in South Portland, ME is a part of the Maine Department of Corrections Juvenile Division committed to the result that all Maine youth successfully transition into adulthood. With the ‘Maine Model of Corrections’, we promote the safety of our staff and residents while reducing barriers to meaningful rehabilitative opportunities ensuring that all justice involved youth experience a fair, equitable, and responsive juvenile justice system providing them with positive outcomes.     Job Description:

    This position provides administrative support by coordinating and monitoring office related functions and activities to ensure efficient unit operations and compliance with established standards; maintains supervisor’s schedule; screens telephone calls, responds to inquiries, and directs callers to the appropriate personnel when necessary; screens and processes incoming and outgoing mail and other documents by receiving, logging, sorting, and distributing to ensure prompt delivery; maintains tracking databases and logs detailed information; composes, edits, and types routine and confidential documents including memorandums, reports, correspondence, policies and other documents; conducts research and compiles information; coordinates with agency staff, external agencies and others in order to exchange information, coordinate efforts and resolve problems; performs various secretarial duties to include, but not limited to scheduling and preparing materials for meetings; taking meeting minutes; filing; copying and distributing documents, faxing, emailing, ordering supplies, communicating with vendors, maintaining records, operating standard office machines and equipment, etc.

    To be successful you will need:

    + Knowledge of the principles, practices, and equipment related to quality control of data input and output.

    + Ability to understand and follow oral and written procedural instructions.

    + Ability to verify, code, compute, and/or reconcile data on standard documents.

    + Ability to conduct research, gather information, and analyze results to reach a conclusion.

    + Ability to coordinate between a wide variety of entities, organizations, and personalities.

    + Strong and effective communication skills.

    + Strong and efficient computer skills.

    MINIMUM REQUIREMENTS:

    Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.

    + Experience in tracking/analyzing data.
