Position Summary:
We are seeking a detail-oriented and proactive Billing Supervisor to oversee and support the billing process across 13 sites located throughout the Gulf Coast of Florida. This role requires strong oversight of billing cycles, regular audits, and effective cross-functional communication. The Billing Supervisor will be responsible for ensuring timely and accurate invoice processing, supporting month-end close activities, and continuously improving billing processes. While this role does not include direct supervisory responsibilities, it requires a hands-on approach in auditing, process management, and resolving billing issues.
Key Responsibilities:
• Billing Cycle Management:
Manage the processing of customer invoices across three billing cycles on four dates each month, ensuring that all invoices are accurate and issued on time for all 13 Gulf Coast sites.
• Audit Function:
Perform and oversee multiple types of audits throughout the month to confirm the accuracy of billing records. Conduct thorough reviews of billing data, including invoice details, adjustments, credits, and payments, ensuring all discrepancies are identified and corrected in a timely manner.
• Billing Accuracy & Review:
Review and approve billing transactions, ensuring compliance with company policies and contractual agreements. Identify any errors or inconsistencies in billing and work with appropriate teams to resolve them before final approval.
• Develop & Implement Billing Procedures:
Develop, implement, and maintain effective billing policies and procedures to enhance the efficiency, accuracy, and consistency of billing operations across multiple sites.
• Reporting & Analysis:
Prepare and analyze a variety of reports related to billing activities, including statistical data, billing performance metrics, and audit findings. Use these reports to identify trends, discrepancies, and areas for process improvements.
• Month-End Close Support:
Assist with month-end close activities, ensuring all billing data is accurately reconciled, and any necessary adjustments are made for proper financial reporting.
• Cross-Site Communication:
Serve as a primary point of contact for billing issues or disputes, ensuring prompt resolution of discrepancies across all 13 sites. Collaborate with site managers and other departments to ensure accurate billing and effective communication.
• Invoice Review and Messaging:
Provide support to district offices with invoice review, messaging, and insert-related tasks, ensuring clarity and accuracy for customers.
• Process Improvement:
Continuously evaluate and recommend process enhancements to improve billing accuracy, efficiency, and productivity. Assist with system or procedural changes as needed to support company goals.
• Collaboration & Support:
Work closely with other departments (such as Customer Service, Sales, and Operations) to resolve billing-related issues and ensure alignment across all functional areas.
Qualifications:
• High school diploma or equivalent required; associate or bachelor’s degree in accounting, Finance, or a related field preferred.
• 3+ years of experience in billing, accounting, or finance, ideally within a multi-site or service-based environment.
• Experience with billing software; familiarity with Trux and Waste Works is a strong plus.
• Strong knowledge of auditing processes, including the ability to identify and resolve discrepancies efficiently.
• Ability to manage and prioritize multiple billing cycles, ensuring all deadlines are met.
• Excellent analytical skills with a keen eye for detail and accuracy in billing records.
• Strong communication and interpersonal skills, with the ability to interact effectively with both internal teams and external customers.
• Proficiency in Microsoft Office Suite, particularly Excel.
• Ability to work independently and manage complex tasks across multiple sites in a fast-paced environment.
Work Environment:
This position typically operates in a professional office environment. Occasional travel to district locations may be required.
