Key Responsibilities:
Student Account Billing, Refunds, and Collections Administration
• Perform, implement, and maintain all student account billing activities, including responding to inquiries via phone, email, and other communication methods.
• Perform all refund functions involving CWI’s 3rd-party partner for both Academic and non-credit programs.
• Maintain and update all documentation related to the refund process, including outstanding and expiring check reports and student refund preferences.
• Implement and coordinate collection activities, including internal outreach and coordination with external agencies.
• Communicate with students, agencies, and other stakeholders regarding payments, invoices, and collections.
• Coordinate monitoring and non-payment drop processes for students.
• Provide back-up to Sr. Coordinator responsible for student refunding
Financial Reconciliation and Compliance Oversight
• Reconcile multiple accounts for the Bursar, including non-credit accounts receivable, daily session reconciliations and miscellaneous receivable accounts.
• Manage data and reporting related to bad debt tracking, write-offs, unclaimed property, and collection agency recovery rates.
• Monitor and manage compliance with Federal law changes related to collections.
• Assist the Bursar with setup and auditing of all course billing tables and maintenance of Master Course lists with fee histories.
Process Improvement, Reporting, and System Support
• Administer payment plan processes, including the setup of master plans, troubleshooting, system testing, and implementation of improvements.
• Compile analyses, generate ongoing reports, and respond to information requests in a timely manner.
• Perform administrative duties and make recommendations for workflow, process improvements, and internal controls.
• Participate in the testing and implementation of new or enhanced system functionalities and billing processes.
Communication, Training, and Stakeholder Engagement
• Interact professionally with executives, government officials, agencies, students, and the public.
• Support departmental communication strategies to ensure accurate, timely, and professional engagement.
• Convey by words and actions the values and mission of the College of Western Idaho (CWI).
• Perform other duties as assigned to support department and institutional goals.
What We're Looking For:
• Associates degree and/or 2 years of Accounts Receivable experience
• +3 years of collections experiencepreferred
• Demonstrated knowledge of accepted accounting principles
• Strong oral and written communication skills
• Proven experience in problem-solving, analyzing, and researching data
• Proficient in Excel, Word, and data entry
• Ability to obtain a driver’s license and means of transportation to multiple CWI locations.
Additional Instructions for Applicants:
Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week, eligibility for remote work is determined on a case-by-case basis at the hiring manager's discretion. All candidates must reside within, or be willing to relocate to, a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
