Job Description
JOB SUMMARY Plans, organizes, and executes all production-related aspects of assigned Arts & Culture community engagement events, programs, and initiatives, including collaboration and communication with relevant Division staff; maintaining schedules, timelines and communication of production elements and staff; coordinating production elements with artists, vendors, and other event participants; ordering and coordination of event technical and production elements; and oversight of the safety and security of event operations.
MINIMUM QUALIFICATIONS
Bachelor's degree from an accredited college or university in Stage Management, Production Management, Technical Direction, or other closely related field, plus two (2) years of related experience, of which one (1) year must have been in technical theater production of commercial events AND supervisory; OR an equivalent combination of related education and experience. Education may not be substituted for the required large event and supervisory experience.
ESSENTIAL FUNCTIONS
• Organize, plan, and execute all production aspects of assigned events, including: purchase orders & check requests, ordering rental equipment, hospitality and backstage coordination, scheduling and overseeing crew, completing audio, lighting, video and other stage system plans and logistics prior to event, coordinating and supervising load-in/load-out and green room schedules, and any other requirement for the event to be implemented smoothly and completely as required.
• Works with Community Engagement and venue management and technical staff to advance facility bookings for Division Community Engagement events, prepare event estimates, coordinate rental equipment, secure all necessary permits, and address and resolve event production technical management issues.
• Works with Community Engagement Senior Manager to develop production budgets for assigned community engagement events, and prepares all required reports on labor costs, equipment usage, and production expenses for internal and external audits. • Works closely with Community Engagement and venue staff to understand desired outcomes of assigned event or program and provides thoughtful coordination and planning of staff, equipment, and resources to meet or exceed expectations. • Coordinates and manages procurement process for technical equipment, services and supplies, and works closely with venue technical directors to plan and schedule all production elements in concert with existing venue needs and schedules.
• Maintains and distributes all Production related invoices for event and coordinates with required staff to facilitate payment.
• Accurately prepares all necessary correspondence and distribution of information in a clear, concise, and professional manner, including staging sheets, crew call sheets, information sheets, and settlement sheets for all events as assigned. Responds to requests for information in a timely manner.
• Works closely with Technical Directors and Community Engagement staff to determine production staffing needs for each event, and oversees contracted production staff for Community Engagement events and programs, including selection, duty assignment and oversight, and invoicing for services. • Serves as event oversight, production management, or stage management as needed during events to ensure smooth and efficient flow of production elements. • Assists with rehearsal scheduling of programs as needed. • Ensures compliance with all policies and procedures that relate to the Division as well as local, state, and federal laws and regulations. Maintains a safe work environment by ensuring safety procedures are followed by all staff, crew, and artists. • Conducts production meetings with Community engagement and venue teams and other event-related staff.
KNOWLEDGE, SKILLS AND ABILITIES (KSA)
Knowledge of: • Specialized theatrical equipment systems including overall functions, purposes, limitations, safe operations and maintenance requirements • Crowd management practices and procedures inclusive of emergency evacuation for all types of public assembly spaces • Experience-based methods and techniques to precisely estimate project costs and timelines • Theatrical industry specific work area safety policies and procedures • Budget preparation and management • Safe workplace practices and procedures to prevent risk to human life and damage to property • Fall protection and arrest OSHA standards and appropriate equipment • Fire safety and building codes • Read and understand architectural drawings and specification manuals • Basic electrical and mechanical theory and operating principles • Theatre-industry specific electronic applications and programs

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
Must be able to perform physical labor in all types of weather conditions; able to routinely lift up to 75lbs.
IMPORTANT INFORMATION REGARDING THIS POSITION
This position will require working nights and weekends during events.
TEMPORARY POSITIONS:
An "At Will", FLSA non-exempt employee who is not eligible for County benefits and who must work an average of 29 hours or less per week or an average of 129 hours or less per month.

+ Are not eligible for County benefits except as otherwise provided for by policy.
+ Are not considered merit employees.
+ Are "at will" employees who may be terminated for any reason, without notice, and without a pre-termination hearing.
