Job Responsibilities:
+ Manage reception and scheduling for Case Management office, including receiving students and facilitating the check-in process for Case Management. This includes answering calls, scheduling appointments, responding to patient chat, utilizing the medical record, responding to email outreach for appointments, and triaging walk-ins.
+ Provide administrative support to the CMHP department, attending to a wide range of administrative details, day to day operations and clinical issues. Schedule rooms, book meetings, and support programs and events. Manage two separate calendaring systems (Outlook and PyraMed) to ensure adequate information between systems and to eliminate informational gaps. Ability to learn additional software systems as the need arises.
+ Supports general office management for Case Management and Health Promotion, including but not limited to: telephone management, record retention coordinator, office/capital equipment inventory and maintenance, mail and HUB liaison and interacting with other campus partners, as necessary. Utilizes various record keeping modalities, including hardcopy and electronic systems management as appropriate.
+ Field inquiries from students about the range of services offered by Case Management and IHS and explain eligibility requirements, intake procedures, session limits, cancellation policies, and confidentiality laws. Facilitates the referral process for faculty, staff, administrators, and parents who are assisting students seeking services from Case Management.

Required Qualifications:
Education/Experience:
+ Associate's degree or equivalent experience in Business Administration or related field
+ 2 years of related reception, administrative or office customer service experience. Preferably in a medical or higher education office setting.
Skills:
+ Strong customer service skills with ability to establish professional and welcoming reception of in person, phone and email/electronic contacts.
+ Effective interpersonal, written, and electronic communications skills, including the ability to convey complex information in accessible terms to diverse or multicultural audiences.
+ Computer competence using Microsoft Office (Microsoft Word, Outlook, Excel, and Windows) and enterprise systems appropriate for the role. . Experience using electronic health record software.
+ Ability to manage and maintain confidential and private information; uses confidential, sensitive and/or private records and information, protects information appropriately.
+ Knowledge of Deaf and other cultures or willingness to learn.
+ Excellent written and verbal communications skills.
+ Maturity and judgment, self-motivated/take initiative. Flexible; adapt well to change; manage risk and uncertainty with poise.
+ Possess ethical decision making skills, discretion, and sound judgment.
Preferred Qualifications:
+ Bachelor’s degree in business administration or related field is preferred.
+ Experience in higher education workplace.
+ Knowledge or experience with HIPAA and/or FERPA confidentiality practices.
