Position Summary: The Administrative Assistant Human Resources will provide essential support to the HR department, focusing on onboarding new hires, maintaining personnel files, and offering general administrative assistance. This role requires a detail-oriented individual with excellent organizational and communication skills. This position is for 25 hours a week. Key Responsibilities: Onboarding Support (Authority Level II): Assist with tasks related to onboarding new employees, including sending offers of employment, collecting completed documents, creating ID badges, and setting up appropriate technology. Personnel File Maintenance (Authority Level I): Maintain filing systems of human resources records and personnel files. Mail Distribution (Authority Level II): Retrieve incoming mail and distribute it to the appropriate HR representative. Report Preparation (Authority Level II): Prepare weekly reports. Employment Verifications (Authority Level I): Process employment verifications. Event Coordination (Authority Level II): Assist with planning and execution of special events such as training and other organization-wide meetings. Electronic File Auditing (Authority Level II): Assist in auditing and maintaining the integrity of electronic personnel files, including regular updates and archiving as necessary. Additional Duties (Authority Level III): Perform other duties as assigned. Problem Solving: Develops alternative solutions; gathers and analyzes information skillfully; identifies problems in a timely manner; resolves problems in early stages; works well in group problem-solving situations. Qualifications: Minimum of 2 years administrative work experience. High School diploma or equivalent. Excellent attention to detail and accuracy. Excellent verbal and written communication skills with the ability to communicate effectively with all levels of the organization. Excellent interpersonal skills, with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organization and time management skills with the ability to prioritize and work effectively on multiple tasks simultaneously. Proficient with Microsoft Office Suite or related software. Proficient with, or able to quickly learn, payroll management, human resource information system (HRIS), or similar applications. Ability to work as a team member and uphold organizational standards and values. Physical Demands: Mobility: Ability to sit or move around for extended periods. Manual Dexterity: Use of hands and fingers to operate computers, handle paperwork, and utilize standard office equipment. Lifting and Carrying: May occasionally need to lift or move objects weighing up to 25 pounds. Vision and Hearing: Keen visual acuity for reviewing complex data, reports, and documents. Clear hearing and speaking abilities are essential for communicating with teams, candidates, and stakeholders, whether in person, via phone, or through virtual platforms. Working Conditions: A hybrid work environment with at least one day of onsite work may be required. Employees will provide, at their expense, a secure, dedicated work area and reliable internet connection. Hybrid employees are responsible for maintaining the work area in a safe, secure, and non-hazardous condition at all times. Employees will maintain security devices and procedures necessary to prevent use by unauthorized persons, including preventing the connection of any Organization-furnished computer system, network, or database to any computer, network, or database not provided or authorized by the Organization. May be required to work a variable schedule. Office environment with regular travel (including use of personal car).
