Overview
The National Security Directorate’s Artificial Intelligence and Data Sciences Division is seeking a dedicated and energetic administrator to join our team. This full-time role requires commitment to a regular 40-hour workweek, Monday through Friday. As the Group Lead Administrator, you will have the opportunity to play a crucial role in supporting our national security mission by organizing and executing essential tasks. In this position you will play a key role in supporting the Software Engineering & Architectures (SEA) Group Leader, leading a small team of administrators within the group, and collaborating with the division's full administrative team to ensure seamless operations. Responsibilities
Provide high-level administrative support to the Software Engineering & Architectures Group, an energetic and fast-paced team of nearly 70 software engineers dedicated to delivering mission-critical analytics in support of national security. This role involves closely collaborating with the group lead to oversee group activities while also supporting various sponsor-funded projects and external sponsor engagements. Key duties include managing schedules, emails, and travel, fielding phone calls, welcoming and directing visitors, word processing, spreadsheet and presentation creation, and task monitoring.
Specific administrative duties and expectations encompass:
+ Exercising a high degree of sensitivity and confidentiality in handling business and personnel information, events, and activities.
+ Demonstrating exceptional customer service skills and operating effectively within a fast-paced environment with conflicting priorities.
+ Maintaining communication with staff and all management levels, both internal and external, including occasional interaction with other organizations.
+ Collaborate effectively with other administrators within the Division.
+ Participating in an administrative team for information-sharing and networking, attending group meetings, and providing backup support during other administrators' absences.
+ Leading or participating in small teams to address and resolve issues or challenges.
+ Navigating daily tasks with independent judgment while receiving general guidance on complex new assignments.
+ Managing emails efficiently and accurately, with experience in overseeing multiple and constantly changing calendars.
+ Providing administrative assistance for a wide range of projects and programs.
+ Possessing working knowledge of departmental and company policies, procedures, and practices.
+ Preparing, proofreading, and editing written correspondence and documents with meticulous attention to detail.
+ Demonstrating thorough understanding of related systems and software applications.
+ Completing complex tasks and mentoring others to achieve operational proficiency, including guiding junior administrative staff.
+ Coordinating group events, off-sites, and activities, managing logistics for meetings and events meticulously.
+ Processing a high volume of standard forms, including awards, purchase requisitions, expense reimbursements, and personnel requisitions.
+ Coordinating complex travel arrangements for employees and visitors.
+ Supporting classified visits and ability to obtain and maintain security clearance.
+ Must be able to demonstrate proficient use of standard office equipment; demonstrate proficient use of MS Office Suite; prioritize work, and coordinate calendars/schedules; be responsible for commitments and action items.
+ Must understand office support functions and possess the ability to apply procedures, work independently, and direct workflow of others as appropriate and effectively. Must be able to identify potential administrative problems/areas for continuous improvement and recommend
+ Must be willing to work on-site at PNNL’s Richland campus up to 5 days a week.
+ Independently make decisions; positively interact with a wide variety of PNNL staff and clients of all levels; resolve and/or advise management on a wide range of administrative issues; provide training and guidance to less senior or new staff when necessary.
+ Excellent communication skills, written and verbal.
+ Experience identifying potential administrative problems/areas for continuous improvement and recommending solutions and assisting with implementation.
Qualifications
Minimum Qualifications:
+ High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
+ AA degree or higher and 4 years of relevant experience in an administrative environment
+ Experience in planning meetings and coordinating travel
Preferred Qualifications:
+ Q Clearance
+ Proficiency in standard office equipment and MS Office Suite, MS Office Forms, MS Teams Features, SharePoint, Jira/Confluence
+ Capability to prioritize tasks and coordinate calendars/schedules, ensuring accountability for commitments and action items.
+ Understanding of office support functions with the ability to apply procedures to daily activities.
+ Work independently and effectively direct/delegate work to others
+ Adept at identifying administrative problems and areas for continuous improvement with recommendations for solutions.
+ Independent decision-making skills.
+ Ability to engage positively with diverse PNNL staff and sponsors
+ Capability to resolve and advise on a range of administrative issues
+ Providing mentorship, training, and guidance to less experienced staff as necessary.
+ Excellent communication skills.

+ Familiarity with PNNL business systems and requirements.
+ Familiarity supporting DOE-IN projects and priorities.
+ Familiarity with classified subject areas, systems, and policies.
+ Experience with planning meetings and coordinating travel, including classified meetings and visits.
Additional Information
This position requires the ability to obtain and maintain a federal security clearance.
Requirements:

* Background Investigation: Applicants selected will be subject to a federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.
*Drug Testing: All Security Clearance positions are Testing Designated Positions, which means that the candidate selected is subject to pre-employment and random drug testing. In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).
Note: Applicants will be considered ineligible for security clearance processing by the U.S. Department of Energy until non-use of illegal drugs, including marijuana, for 12 months can be demonstrated.
Testing Designated Position
This position is a Testing Designated Position (TDP). The candidate selected for this position will be subject to pre-employment and random drug testing for illegal drugs, including marijuana, consistent with the Controlled Substances Act and the PNNL Workplace Substance Abuse Program.

In accordance with Homeland Security Presidential Directive 12 (HSPD-12) and Department of Energy (DOE) Order 473.1A, new employees are required to obtain and maintain a HSPD-12 Personal Identity Verification (PIV) Credential. To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This investigation includes a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last year. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.
For foreign national candidates:
If you have not resided in the U.S. for three consecutive years, you are not eligible for the PIV credential and instead will need to obtain a favorable Local Site Specific Only (LSSO)risk determination to maintain employment. Once you meet the three-year residency requirement, you will be required to obtain a PIV credential to maintain employment.
