    This position is a 100% in-office position.

     

    This position serves as the Office Support Coordinator for the Behavioral Health Administration (BHA), providing essential administrative support services to facilitate smooth daily operations for the entire administration. The coordinator delivers administrative assistance across all levels of the administration, including staff members, program teams and leadership. This position maintains organizational systems, assists with scheduling, facilitates internal communication, manages office supplies and equipment and handles routine office procedures to ensure operational continuity for all BHA personnel. The Office Support Coordinator seeks and receives guidance and direction from the administration’s Communications and External Relations Team supervisor while working collaboratively with all team members to support the BHA's mission and objectives and create an efficient, well-functioning workplace for everyone.

    Some responsibilities include but are not limited to:

    + Provide comprehensive administrative support and coordinate general office functions across the Behavioral Health Administration.

    + Develop and manage administrative information systems for efficient organizational communication.

    + Support and assist with managing administration's training using DHS Learning Management System(s) and other resources and tools.

    + General administrative duties as assigned or as back-up for other BHA administrative positions.

    Minimum Qualifications

    Experience performing administrative tasks for office program management work that demonstrate the following:

    + **Communication Skills** sufficient to support verbal and written communication skills for clear interactions with staff, executives and visitors.

    + **Data Entry Performance** sufficient to support technical proficiency with Microsoft Access, PowerPoint, Word, Excel, Outlook, web development tools, and learning management system software applications.

    + **Customer Service Skills** sufficient to provide highlevel administrative support and coordinate general office functions forthe administration, including calendar management, meeting organization, and creating and facilitate business communications.

    + **Database, Documents** **,** **and Records Management** skills sufficient to the creating, storing, maintaining and troubleshooting of database issues and access with IT, generating custom reports, and storing and adhering to retention policies.

    + **Computerized Inventory Control Systems** skills sufficient to inventory and maintain office supplies and access the impact of computer and telecommunication problems.

    + **Development of Administrative and Programmatic Procedures** related to administrative office management that includes, but is not limited to: handling of incoming mail, updating and maintaining organization charts and, managing contact resources, and internal phone listings.

    + **English Language** **S** **s** **kills** sufficient to having thorough knowledge of the rules of standard English grammar and usage.

    + **Leadwork Skills** to plan and coordinate projects regarding administrative and program problems and issues by researching, developing, and recommending courses of action. Serve as a Technical Service Liaison (TSL), providing first-level technical support and escalating complex issues to IT.

    + **Word Processing** skills sufficient to edit and manage documents.

    Preferred Qualifications

    + Variety of experiences working effectively with others from different backgrounds and cultures.

    + Two (2) years of providing administrative experience at the organizational level.

    + Broad-based understanding of how state agencies function to provide fully informed support and administrative functions.

    + Knowledge of computer hardware and software functionality.

    + Ability to organize workload based on prioritization of work assigned.

    + Ability to work independently and on a team, use sound judgment to make decisions and research and resolve problems.

    + Advanced-level skills using Microsoft Office Suite, SharePoint, PowerPoint, Adobe Pro, and video conferencing programs.
