    Purpose of Position:

    This Vocational Rehabilitation Assistant plays a critical role as a member of the vocational rehabilitation team by performing office/administrative and paraprofessional duties, establishing relationships with participants, and assisting with their needs, and supporting agency field personnel and management staff to fulfill the mission of the agency, as needed. Caseloads may include a general caseload, school-based caseload, and/or corrections caseload.

    Job Responsibilities:

    Counseling Team Support:

    + Establish relationships with participants; schedule and coordinate services for them.

    + Communicate Vocational Rehabilitation's mission and function to potential participants and discuss eligibility requirements.

    + Conduct and document intake interviews with applicants for services to assist in determining eligibility.

    + Review participant medical records for relevance to VR program, cull and attach relevant records to participant case file.

    + Coordinate and route confidential medical records upon receipt in a timely and accurate manner while ensuring compliance with all laws, regulations, policies, etc. regarding confidentiality of personal health and identifying information. • Attend and participate in team meetings. Assist with caseload management activities.

    + Meet with participants on an ongoing or ad hoc basis to obtain information and documentation for the case record as needed for case management and future plan development.

    + Engage with the community including employers and partnering agencies to conduct job site visits to support development of volunteer work assessment sites and other collaborative efforts, as assigned. • Inform vendors (e.g., community resource providers, employers, etc.) and correct invoices as necessary to ensure that requested services are consistent with participant service plan and referral.

    + Engage in telephone/electronic contact and/or onsite visits with employers to inquire about and/or follow-up on job openings and placements for participants while monitoring participant progress in job placements and throughout the rehabilitation process. Office/Administrative Support:

    + Ensure quality service to participants by displaying professionalism in all internal and external agency interactions.

    + Provide office support to include composing correspondence, creating, reviewing, and processing documents, generating reports, and maintaining records.

    + Greet visitors/callers and provide whatever assistance is appropriate or direct them to the appropriate team member as necessary.

    + Receive, sort, open, and route mail, faxes, and emails, ensuring confidentiality is maintained.

    + Provide routine information to applicants and participants concerning procedures, rules, and regulations of the agency.

    + Using case management software, create and manage authorizations for services.

    + Label scanned documents and file electronically in case management software in an accurate and timely manner.

    + Ensure that internal controls are adhered to by reviewing all documentation entered in electronic case records for compliance with agency policies, procedures, and guidance.

    + Schedule and coordinate meetings as required and perform basic office management functions.

    + Performs related duties, as assigned.

    Minimum Qualifications:

    + Experience providing assistance and services to individuals with varying levels of ability

    + Demonstrated ability to interpret and explain complex information clearly and effectively

    + Proficiency in using professional software tools (e.g., Microsoft Office Suite, Google Workspace) to create, edit, format, and manage documents and correspondence

    + Strong adaptability and time management skills, with the ability to thrive in a dynamic environment, manage multiple priorities, and consistently deliver high-quality service

    Preferred Qualifications:

    + Working knowledge of office equipment such as printers and scanners typically gained through work experience using this equipment.

    + Working knowledge of current office software applications (e.g. Microsoft Office suite), as well as familiarity with the use of a search engine (e.g., Google, Microsoft Edge, etc.) typically gained by at least one year of experience using these applications on a regular and frequent basis.

    + Ability and willingness to travel (which may include overnight travel) to provide service to participants, and for training, meetings, and conferences, as needed.
