We have an exciting opportunity for an Accounts Receivable Specialist to join our team in our Albuquerque office. We are seeking a friendly, highly motivated, organized and experienced person to work in our accounting group.

The Accounts Receivable Specialist plays a critical role in managing client billing and ensuring accurate tracking of project-based receivables. This position requires close collaboration with Principals, project managers, consultants, and the accounting team to maintain healthy cash flow and adhere to company financial standards.

This position also includes the following responsibilities:

+ Prepare and issue client invoices based on project contracts, billing terms, and progress milestones (e.g., percentage of completion or time and materials).

+ Includes:

+ Preparation of billing reviews for Principals.

+ Follow project/client specific billing instructions.

+ Coordinating review of invoicing by the Accounting Manager.

+ Working with company Principals/Senior Project Managers, reconcile project invoicing with client invoicing to ensure accuracy in billed amounts.

+ Monitor accounts receivable aging.

+ Follow up on overdue invoices to reduce outstanding balances.

+ Provide supporting information and documentation to Principals to allow support of accounts receivable aging collections.

+ Communicate with Principals/project managers to address billing discrepancies or client inquiries regarding invoices.

+ Maintain accurate records of receivables for financial reporting and audits.

+ Ensure compliance with company policies and client contracts related to receivables.

+ Support the preparation of month-end and year-end close processes by reconciling accounts receivable balances.

+ Assist with creating customized financial reports for project managers, leadership, and external stakeholders.

+ Coordinate with clients to manage retainage payments and ensure timely releases, as applicable.

+ Ensure payments received are properly reconciled with invoicing.

We expect our Accounts Receivable Specialist to have the following qualifications:

+ Associates degree in Accounting, Finance, or a related field.  Equivalent experience may be considered.

+ Minimum of 3 years of experience in accounts receivable or a similar financial role, preferably in the architectural or engineering industry.

+ Proficient in accounting software and tools, preferably with Deltek Vision or VantagePoint.

+ Strong analytical and problem-solving skills.

+ Excellent communication and interpersonal abilities.

+ Ability to work independently and as part of a team.

+ Detail-oriented with a high level of accuracy.

+ Ability to multi-task, working under tight deadlines and managing multiple priorities simultaneously.

+ Familiarity with A/E industry-specific practices such as progress billing, retention, and lien waivers.
