Description We are looking for a highly skilled Executive Assistant to support the Chief Financial Officer in a dynamic healthcare organization based in Syracuse, New York. This Contract-to-permanent position is critical to ensuring seamless administrative, operational, and project-based support for the Finance Department. The role requires exceptional organizational skills, professionalism, and the ability to manage confidential information with discretion.
Responsibilities:
• Oversee the CFO's calendar, coordinating meetings, travel arrangements, and events to ensure optimal time management.
• Draft, proofread, and format correspondence, reports, and presentations with a high degree of accuracy and professionalism.
• Manage incoming communications, prioritizing and responding on behalf of the CFO when necessary.
• Prepare agendas, document meeting minutes, and track follow-up actions for finance-related and board committee meetings.
• Assist with special projects such as budgeting preparation, financial reporting, and audit coordination.
• Organize and maintain both digital and physical filing systems for Finance operations.
• Coordinate logistics for guest visits and vendor meetings involving senior finance staff.
• Represent the CFO in meetings or communications when appropriate, ensuring professionalism and clarity.
• Handle confidential financial, operational, and personnel matters with the utmost discretion.
• Support broader executive team functions and contribute to improvement initiatives as assigned. Requirements • Minimum of 2 years of experience in an executive assistant or similar administrative role.
• Proficiency in tools like ADP Financial Services, Cisco Webex Meetings, Concur, CRM systems, and Kronos Timekeeping.
• Strong skills in calendar management, appointment scheduling, and coordinating logistics.
• Excellent communication skills, both written and verbal, with attention to detail.
• Experience handling conference calls and managing correspondence in a detail-oriented environment.
• Ability to maintain confidentiality and demonstrate sound judgment in sensitive situations.
• Familiarity with healthcare or finance operations is advantageous.
