Description We are looking for an experienced receptionist with 3-6 years of expertise to join our team in Brooklyn, New York. In this long-term contract position, you will be the first point of contact for visitors and clients, ensuring smooth operations and providing excellent customer service. This role demands strong organizational skills and the ability to manage multiple tasks in a detail-oriented and welcoming environment.
Responsibilities:
• Greet visitors and clients in a detail-oriented and courteous manner, ensuring a positive first impression.
• Answer and manage multi-line phone systems, directing calls and taking detailed messages as needed.
• Coordinate meeting room reservations, including catering and audio-visual setup, to support seamless events.
• Maintain accurate records through data entry and ensure the organized management of office supplies and inventory.
• Collaborate with external partners and vendors to facilitate service delivery and operational needs.
• Monitor and uphold security protocols by managing visitor access and ensuring compliance with facility guidelines.
• Provide support for daily operations, including scheduling, correspondence, and other administrative tasks.
• Handle incoming and outgoing mail and deliveries, ensuring timely distribution and organization.
• Assist in reviewing and improving processes to enhance overall efficiency and service quality.
• Act as a liaison between departments to ensure effective communication and coordination. Requirements • A minimum of 3-6 years of experience in a receptionist or similar customer-facing role.
• Strong proficiency in managing multi-line phone systems and other office equipment.
• Demonstrated ability to handle data entry tasks with accuracy and attention to detail.
• Excellent interpersonal and communication skills for interacting with clients, staff, and external partners.
• Familiarity with reservation systems and coordinating meeting room logistics.
• Proven ability to manage supply inventory and maintain organized records.
• Experience in working with catering, audio-visual setups, and event coordination.
