    The Recreation Services department with CU Boulder is accepting applications for a Sport Club Business and Finance Coordinator! This position is an integral part of CU Sport Clubs providing business and finance support for 30 sport clubs within the department of Recreation Services. Responsibilities include training students on financial policies and processes, account management and reconciliation, processing financial transactions, and supervision of 2-3 student employees. This position works closely with Student Life Finance and Business Services to ensure compliance with university and division policies and procedures.

    The Division of Student Life consists of 30 departments that provide student support and services dedicated to helping students become successful, curious, competent individuals during their time at CU Boulder.

Many departments provide involvement opportunities, educational resources and support services to help students find their community and build lifelong skills. Student Life also has shared services departments that support the work and staff of our student-facing areas, including areas like center for assessment, insight and research, business services, finance, employee experience, communication and marketing and technology solutions.

     

    With over 900 staff members in the Division of Student Life, our diverse team is uniquely positioned to personalize the student experience and advocate for students, enhancing their success inside and outside the classroom.

     

    CU Boulder Recreation Services is a welcoming, valued, campus resource that promotes healthy lifestyles through high-quality, accessible, facilities and experiences. This student-fee-funded unit features a student-led CUSG Recreation Board and a diverse team of professional experts to help meet evolving recreational needs and support student engagement and success. Recreation Services is responsible for the LEED Platinum main campus Student Rec Center, a building with over 300,000 square feet of recreation and fitness activity space, as well as a satellite recreation center at Williams Village, outdoor basketball courts, a challenge ropes course, and eight turf and grass fields around campus. Throughout these facilities, members of the CU community can engage with a variety of programs that include ice skating, indoor rock climbing, intramural and club sports, yoga, aquatics and so much more.

     

    What Your Key Responsibilities Will Be

    Procurement and Travel Support

    + Submit receipts and documentation to Student Life Business Services to ensure compliance with university processes.

    + Compile, validate, and review receipts turned in for reimbursement by Sport Club members.

    + Act as the approver for all Sport Club report submissions in collaboration with Student Life Business Services

    + Provide updates and clarification on travel policies and rules to program staff and participants as appropriate.

    + Management of Sport Club Travel Card process to include background checks, card requests, tracking issued cards, and annual card cancellation.

    + Train student club travel cardholders on appropriate use, related procedures, and compliance with the travel card program.

    + Identify, investigate, and help resolve issues/discrepancies associated with purchasing and invoice payments.

    + Develop and implement process to manage and track sport club Clery Travel Reporting and distribute semesterly Sport Club Clery travel report.

    + Ensure compliance with all payment card and university security and documentation standards.

    + Report and resolve fiscal policy violations.

    Fiscal and Resource Management

    + Responsible management of accounts receivable, accounts payable, procurement, and fiscal reporting for the program through auxiliary funds, and gift funds.

    + Act as a liaison between the Sport Club program, Student Life Shared Services, and other campus/system entities to ensure successful completion of relevant club operations.

    + Collaborate with Student Life Finance on reconciling ledgers to ensure accuracy, as well as set up program payments via the Fusion platform to include club dues, apparel sales, event tickets, and other payments.

    + Coordinate of sport club event registration payments through the CU Touchnet system in collaboration with the Treasurer's office.

    + Ensure availability of funds by completing all journal entries accurately and in a timely manner.

    + Provide weekly Sport Club revenue updates to each club.

    + Identify trends and needs for Sport Club financial operations to ensure timely follow-up by Sport Club Coordinators.

    + Support fiscal year end processes in partnership with Student Life Finance.

    + Keep up to date on university and state fiscal and business policies, processes, and applicable laws.

    + Assist in establishing and reviewing fiscal policies and procedures to provide for effective administration of Sport Club business operations.

    Personnel Management and Student Development

    + Provide direct supervision to 2 - 3 student assistants responsible for processing Sport Club business transactions.

    + Responsible for hiring, onboarding, and reviewing payroll for student assistants in collaboration with Student Life Employee Experience.

    + Provide leadership for student staff through continuing education to enhance skills via training and evaluation.

    + Responsible for processing and coordinating personal service contracts including scopes of work and payment.

    Business Process Management

    + Ensure business functions employ best management practices and are consistent with department and university standards.

    + Provide training and support to Team Sports professional staff in areas of business function and fiscal compliance.

    + Review and provide support and feedback on Fundraising Request submissions.

    + Assist in the development and refinement of processes and procedures regarding sport club financial operations and compliance.

    + Assist Senior Assistant Director in the coordination of risk management protocols when working with University Risk Management related to Sport Club travel and event coordination.

    Recreation Services Support

    + Maintain and cultivate professional relationships across campus departments to promote communication, cooperation, and a positive Recreation Services image.

    + Attend and actively participate in staff meetings, in-service education sessions, and other divisional or departmental meetings.

    + Participate in the development of ideas and suggestions for Recreation Services and facility improvements.

    + Ensure that the Recreation Center's facilities, equipment, and programs are meeting or exceeding the standards of the department quality by using and attending its offerings.

    + Assist with additional initiatives, assignments, and special projects as needed.

     

    What You Should Know

     

    Hybrid work schedule with one remote day per week.

    The salary range for this position is $51,000 - $55,000.
