A Glimpse of the Job
The Business Coordinator III provides advanced administrative and financial support within the School of Engineering Medicine (SEM). This position is responsible for managing complex business operations, coordinating travel and purchasing activities, maintaining budget records, and ensuring compliance with the University, SEM, and departmental policies. The Business Coordinator III serves as a liaison between SEM departments, vendors, and university administration to facilitate efficient business processes and support the unique interdisciplinary environment of SEM. Additionally, this role plays a crucial part in faculty affairs and research coordination, assisting with onboarding, credentialing, and adherence to academic policies.
Essential Duties/Tasks
Account Management
+ Responds to inquiries from faculty and staff regarding the use of E&G, designated, and sponsored accounts.
+ Performs budget transfers and correction entries to ensure account accuracy.
+ Acts as an approver and backup signer for vouchers and requisitions.
+ Reviews and audits account reconciliations to maintain financial integrity.
+ Prepare complex monthly and annual financial reports for departmental leadership.
+ Oversees the departmental accounts receivable program, ensuring timely collections.
+ Ensures accounts receivable processes comply with applicable agency and university guidelines.
+ Processes graduate tuition and fee payments, manages departmental scholarship accounts, and prepares invoices for payments.
Faculty Administration
+ Supports leadership with faculty-related processes including recruitment, hiring, administrative appointments, retention, evaluation, tenure, promotion, and post-tenure review.
+ Coordinates documentation and communication between faculty and administrative units.
Grant Management
+ Oversee administration of contracts and grants, ensuring compliance with sponsor and university policies.
+ Prepares and reviews budgets in collaboration with principal investigators for accuracy and completeness.
+ Serves as liaison between faculty, Financial Management Office (FMO), Vice President for Research’s office, and Sponsored Research Services to resolve grant-related issues.
Office Administration
+ Manages maintenance and organization of business files; serves as office manager delegate as needed.
+ Implements, audits, and updates business procedures to optimize departmental operations.
+ Provides training to staff on new and existing policies and procedures to ensure compliance and efficiency.

Required Education and Experience
+ Bachelor’s degree or equivalent combination of education and experience.
+ Four years of related experience in general office, accounting, or personnel operations.
Knowledge, Skills, and Abilities
+ Excellent verbal and written communication skills.
+ Exceptional organization and analytical skills with the ability to manage a large volume of work under pressure with competing needs.
+ Critical thinking skills.
+ Knowledge of accounting.
+ Ability to carry out tasks independently.
