    Job Description

    We are seeking a highly organized and welcoming individual to support front desk and facilities operations while providing administrative assistance across departments. This role ensures that the office environment is professional, efficient, and inviting for both visitors and team members.

    Key Responsibilities

    + Maintain a neat, organized, and well-equipped front desk area

    + Greet visitors in a friendly and professional manner, directing them as needed

    + Answer and route incoming phone calls; take detailed messages when necessary

    + Collect and distribute incoming mail and packages

    + Send outgoing mail, including certified and express shipments

    + Monitor inventory and order office and breakroom supplies

    + Ensure functionality of office equipment and general supply stock

    + Decorate lobby and breakroom for holidays and events

    + Set up, flip, and clean conference rooms throughout the day based on meeting needs

    + Manage conference room calendar and resolve scheduling conflicts

    + Coordinate lunch orders for internal and client-facing meetings

    + Serve as liaison to vendors and building service providers

    + Coordinate maintenance, repairs, and service requests

    + Work with HR to set up new employee workspaces (furniture, signage, cleaning, supplies)

    + Manage business card orders and employee badge/access setup

    + Assist with planning and executing internal events and initiatives

    + Provide general administrative support to various departments as needed

    Requirements

    Requirements

    + Proven experience in an administrative, office coordinator, or front desk role

    + Strong organizational skills and attention to detail

    + Excellent verbal and written communication skills

    + Friendly, professional demeanor with strong customer service orientation

    + Ability to manage multiple tasks and prioritize effectively

    + Proficient with standard office equipment and software (e.g., phone systems, Microsoft Office, calendars)

    + Comfortable working both independently and collaboratively

    + Ability to lift or move light office supplies or packages if needed

    + Flexibility to assist with occasional after-hours events or facility needs

    + Experience coordinating vendors or building services is a plus

    + High school diploma or equivalent required; some college or administrative training preferred
