We are seeking a highly motivated and customer-focused Executive Assistant to support the Vice President of Business Intelligence and Transaction Risk. This role requires a strong focus and execution in managing complex calendar scheduling, prioritizing tasks amidst a flood of information, and ensuring urgency in monitoring the VP's meetings, priorities, and emails. You will act as a proxy when necessary, manage travel and expenses, and handle all administrative support functions for this office. Additionally, you will be responsible for documentation, follow-up, and preparation for the VP, ensuring timely action on deliverables.
Responsibilities
+ Manage complex calendar scheduling and prioritize tasks effectively.
+ Monitor and track VP's meetings, priorities, and emails, and act as proxy when necessary.
+ Manage travel arrangements and expenses.
+ Handle all administrative support functions for the office.
+ Document, follow up, and prepare for the VP, ensuring timely action on deliverables.
Essential Skills
+ Ability to complete a high volume of tasks and projects with little to no guidance.
+ Impeccable attention to detail and ability to make smart, timely decisions.
+ Exceptional verbal and written communication skills.
+ Ability to switch gears quickly and handle situations requiring urgent response.
+ High level of integrity and discretion in handling confidential information.
+ Professionalism in dealing with senior professionals inside and outside the company.
+ At least two years of college required; bachelor's degree preferred.
+ 6+ years of experience supporting senior management (VPs, Senior VPs, or CEOs).
+ Strong working knowledge of Microsoft Office and Outlook tools.
Additional Skills & Qualifications
+ Experience supporting C-level executives or multiple executives in larger organizations.
+ Tech or aerospace background is beneficial.
+ Knowledge of Outlook, MS365, and Slack software/tools is helpful.
+ Bachelor's degree is ideal but not required with relevant experience.
Work Environment
You will be working within the Prime Air business group. The typical work schedule is 8am-5pm, although it may vary based on projects. There is potential for extension or conversion. The environment requires professionalism and adaptability to dynamic situations.
Pay and Benefits
The pay range for this position is $30.00 - $32.00/hr.
