Function of Position:
The Grants Management and Finance Coordinator is responsible for maintaining the Foundation's current and future grant agreements along with finance support for the Advancement Services team.
The successful candidate will help gather information for grant proposals and reports, coordinate internal timelines, and prompt key staff members to complete required reporting. The coordinator also maintains systems for tracking named spaces, named programs, and named faculty positions, and initiates the appropriate follow-up actions to ensure donor recognition is handled appropriately in accordance with College policies and procedures.
Additionally, they will serve as liaison between the Finance and Development teams to ensure accurate and timely information-sharing and will perform various finance-related duties. Reporting to the Director of Finance/Advancement Services, this position plays a key role in the Foundation's advancement efforts and is part of a collaborative team working to enhance private philanthropic support for MCC.
*This is a temporary position that may be renewed annually contingent upon availability of college budget and performance reviews. This position is eligible for paid time off and benefits.
Examples of Duties & Responsibilities:
Grants Management
+ Utilize online databases/websites to research grant opportunities from foundations, corporations, etc.
+ Manage all online grant portal systems and submissions for family and corporate foundations.
+ Maintain grant records, deadlines, submissions and outcomes using CRM.
+ Collaborate with Development and Finance teams to build a process to ensure timely submission of all grant reports.
+ Draft initial proposals and grant reports in coordination with Development and Program staff.
+ Collaborate with staff to ensure proper crediting of funders in published and marketing materials.
+ Initiate monthly check-ins with Finance, Development and Program staff to review grant budgets and deliverables.
+ Develop and maintain a system for managing and querying internal programs and operations data for efficient and accurate reporting to grant funders.
+ Serve as the liaison between Finance, Development and College program team(s) to ensure budgets are reflective of grant and departmental goals.
+ In partnership with Finance, serve as lead in ensuring documentation of all donor-restricted contracts are compliant.
+ Redact all sensitive information from grant budgets, if any, before passing onto Program teams for implementation of the grant.
Named Recognition Stewardship
+ Maintain records of named spaces, programs, and faculty positions, ensuring all recognition is accurate and up to date.
+ Maintain a checklist of actions and deliverables tied to new named gifts (e.g., approval process, signage, internal notifications).
+ Prompt and coordinate with key internal stakeholders, including Development staff, the Executive Director, and the College's Facilities team, to ensure timely execution of recognition.
+ Support ongoing stewardship efforts by maintaining documentation, timelines, and follow-up reminders related to named commitments.
Finance Support
+ Assists on yearly audit providing documentation as necessary.
+ Deposit incoming checks via Treasury Management portal.
+ Entry of bi-weekly invoices and cutting of corresponding checks
+ Reconcile monthly credit card statements and gather receipts.
+ Participate as a full-time member of the Foundation's Finance team including professional development activities and staff meetings.
Secondary Functions:
+ Document Advancement Services processes and procedures.
+ All other duties as assigned.

Job Requirements:
Required Qualifications:
+ Earned bachelor's degree from an accredited institution in a related field.
+ Two or more years' experience in coordinating and supporting data entry and output through PC's and network systems.
+ Strong organizational skills and ability to create efficient systems.
+ Excellent verbal and written communication skills.
+ Superior computer skills, including high proficiency in: Microsoft Word, Excel, PowerPoint and Outlook; expected to learn and use the database and reporting software program for both the CRM and Finance systems.
+ Detail-oriented, energetic self-starter with a positive and enthusiastic outlook.
+ Vision to plan ahead, take initiative and set and adhere to deadlines.
+ Ability to multi-task and to work collaboratively with others in a fast-paced environment.
+ Ability to work with a diverse audience of alumni and donors.
Preferred Qualifications:
+ Prior experience in higher education setting using Raiser's Edge.
+ Experience with web-related communication tools.
Additional Information:
Salary: Salary is determined based on experience, internal equity and college budget. This position has a range of $52,000 to $60,000 and is based on these mentioned factors.
Supervised By: Director of Finance/Advancement Services
Working Environment:
+ The MCC Foundation is located at 321 State Street, Rochester, New York.
+ This position requires reliable personal transportation.
+ This position functions primarily during normal business hours, with occasional evening and weekend activities.
+ Travel outside the immediate Rochester area is typically confined to attendance at professional conferences and meetings 1-2/year.
MCC offers a Flexible Work Policy for benefit eligible employees. Types of flexible work arrangements include flextime/staggered shifts, remote work/telecommuting and compressed work schedule. The availability of flexible work arrangements varies by division, department, and position, based upon business and operational needs.
