    Job Description

    APPLICANTS MUST BE PERMANENT IN THE PRINCIPAL ADMINISTRATIVE ASSOCIATE CIVIL SERVICE TITLE

    The Timekeeping Unit handles the vital function of processing daily time records, including bi-weekly time entries, overtime and leave requests for all 17,000+ employees within the Department of Social Services (DSS)/Human Resources Administration (HRA) and the Department of Homeless Services (DHS) employees. The Unit coordinates with internal Agency departments such as, the Office of Staff Resources, Payroll Administration, Employee Relations and the OSR Customer Service Help Desk, in order to produce paychecks, audit and review time records, process long-term leaves of absence, and process time and leave actions relating to job changes.

    Human Resources Solutions (HRS) Timekeeping/Special Projects Unit is recruiting one (1) Principal Administrative Associate II to function as a Discretionary Unit Associate who will:

    Be responsible for completing timekeeping research and data clean-up timekeeping projects.

     

    Ascertain the accuracy of time and leave information, providing information to various groups within Timekeeping, Payroll, Employee Relations and other internal/external entities.

     

    Process timekeeping transactions, adjustments, and corrections; ensuring that employee time and leave data is accepted and accurately processed in the Payroll Management System (PMS).

     

    Review and monitor the accuracy of timekeeping actions in order to research data errors reported via the Help Desk and/or CityTime logs (e.g., schedule problems, employee and/or/supervisor problems).

     

    Process documents received from various OSR personnel and systems (Word, Excel, CityTime, Payroll Management System (PMS), Citywide Human Resources System (CHRMS) and the Report Management and Distribution System (RMDS).

     

    Perform other timekeeping-related tasks and functions as required; including acting as a back-up Timekeeping Supervisor, when needed.

     

    Work Location: 4 World Trade Center Hours/Schedule: 9 AM – 5 PM

    Qualifications

    1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or

    2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or

    3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;

    4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
