Job Title: Accounts Payable Specialist
Job Description
We are seeking an ambitious and team-oriented Accounts Payable (AP) Specialist to join our finance team. This role is crucial for the financial processing of transactions and involves collaboration with both the finance and operations teams. The ideal candidate will have strong experience in accounts payable, with responsibilities that include processing vendor invoices, obtaining payment approvals, supporting invoice payments, and maintaining accurate records.
Responsibilities
+ Ensure timely and accurate 3-way match process for PO-related invoices by gathering purchase orders, receiving approvals, and invoice copies.
+ Obtain timely approvals for non-PO invoices and ensure correct GL accounting coding.
+ Process and enter all A/P invoices and expense reports into QuickBooks with correct GL Account coding.
+ Mail and distribute signed checks, assembling check payment advice to invoices.
+ Assist with reconciling vendor statements and request missing invoices from vendors.
+ Support the credit card process by gathering receipts from cardholders for month-end journal entries.
+ Review employee expense reports to ensure receipts are attached and approvals are received.
+ File, maintain, and distribute accounting documents, records, and reports.
+ Perform additional duties as required to support the Accounting and HR Departments.
+ Analyze workflow processes.
+ Manage the full cycle Accounts Receivable function including handling A/R inbox, desktop deposits, cash collections, posting of cash, and sending invoices and statements.
+ Engage in general ledger activities, preparing A/R and A/P related journal entries.
+ Reconcile key A/R accounts.
+ Resolve routine internal and external inquiries regarding account statuses, communicating resolutions of discrepancies.
Essential Skills
+ 3-5 years of experience in AP/AR, with a preference for more AP experience.
+ Proficiency in Microsoft Excel, including Pivot Tables, and the full Office suite.
+ Experience using an ERP system, preferably Netsuite.
+ Proficient in QuickBooks and familiar with general ledger operations.
Additional Skills & Qualifications
+ Experience in the manufacturing, production, or engineering industries.
+ Familiarity with Expensify is a plus.
Work Environment
This is an onsite role, requiring presence in the office five days a week. The office is located in North Austin, having recently relocated from Round Rock. The work environment includes a small, tight-knit accounting team of about five individuals, fostering high communication and accessibility. The team includes another AP Specialist, a Controller, and a VP of Finance. The HR department is known for hosting fun events, contributing to a vibrant company culture.
Pay and Benefits
The pay range for this position is $25.00 - $29.00/hr.
