Description
We are looking for an experienced Part-Time Executive Assistant to join our team in Boston, Massachusetts. In this contract position, you will play an essential role in providing high-level administrative support to ensure smooth daily operations. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
Responsibilities:
• Coordinate and manage calendars, appointments, and schedules to optimize time efficiency for executives
• Organize and facilitate conference calls and virtual meetings using platforms such as Cisco Webex
• Handle correspondence, including drafting, reviewing, and distributing communications accurately and professionally
• Oversee travel arrangements and expense reporting through systems like Concur
• Utilize CRM tools to maintain and update client information, ensuring data accuracy and accessibility
• Monitor and manage timekeeping systems such as Kronos to ensure compliance with company policies
• Support financial services operations by using ADP and other relevant platforms
• Maintain organized records and documentation to streamline administrative processes
• Collaborate with internal teams and external stakeholders to ensure seamless communication and workflow
• Assist in preparing reports, presentations, and other materials as requested by executives
Requirements
• Minimum of 7 years of experience as an Executive Assistant or in a similar administrative role
• Proficiency in tools such as Cisco Webex Meetings, Concur, and CRM systems
• Strong knowledge of financial services platforms like ADP and Kronos Timekeeping System
• Exceptional organizational and time management skills with the ability to prioritize tasks effectively
• Excellent communication skills, both written and verbal, with attention to detail
• Demonstrated ability to coordinate calendars and manage complex scheduling demands
• Experience in handling confidential information with discretion and professionalism
• Proficiency in Microsoft Office Suite and other relevant software for administrative tasks
