POSITION
The Office Administration Manager will be responsible for ensuring that the Missoula, MT, and Spokane, WA administrative support services are running smoothly by coordinating administrative tasks, managing office supplies and budgets, and supporting staff needs.
They will be the go-to person for solving day-to-day problems, improving efficiency, and ensuring everything behind the scenes operates seamlessly.
These responsibilities include:
+ Oversee administrative planning and coordination of multiple office locations.
+ Lead and supervise administrative support staff.
+ Manage daily office operations such as ordering supplies, answering phones, greeting clients/guests, and processing purchase orders.
+ Manage office facility vendors, maintenance, and safety of the building, and related systems.
+ Oversee fleet management of company office vehicles, including coordinating new orders, equipment, and maintenance.
+ Assist managers with new employee onboarding and orientation.
Administrative Engineering Support:
+ Prepare proposals, resumes, graphics, and technical documents; manage formatting and spreadsheets.
+ Coordinate specs, bid documents, and construction administration, including certified payrolls.
+ Manage project setup, invoicing, timecards, POs, petty cash, and assist with budgets.
+ Support meetings and events by coordinating timelines, resources, and tracking progress.
+ Maintain project data, update descriptions, and track client notes in Microsoft Dynamics CRM.

YOUR STRENGTHS
+ 5+ years of office administrative experience in medium to large-sized companies
+ Associate degree or higher in business administration, management, communications, or a similar field of study
+ High level of emotional intelligence and relationship-oriented
+ Experienced in business correspondence writing, formatting, reports, and proofreading
+ Strong skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)
+ Ability to perform moderate physical work and to lift and carry up to 50 pounds
+ Valid driver's license and insurable driving record
PREFERRED
+ Proficient in Adobe Creative Suite programs, specifically InDesign & Adobe PDF
+ Microsoft Dynamics 365 client relationship management software or similar
+ Administration support experience in engineering or consulting firms
+ Project accounting management software
+ Engineering proposal writing
+ Current notary holder or able to obtain notary after hire
