    Job Description

    OPEN TO PERMANENT EMPLOYEES ONLY

    The Division of Environmental Health's Office of Permits and Licensing collaborates with internal and external partners to issue thousands of permits and licenses to individuals and businesses annually, including those for restaurants, mobile food vendors. Beginning January 1, 2023, DOHMH launched an initiative to significantly expand the number of mobile food vending units operating across the City

    DUTIES WILL INCLUDE BUT NOT BE LIMITED TO:

    - Responding to customer service inquiries from business owners deriving from emails, calls and forwarded from other Programs.

     

    - Liaising with the Department of Consumer and Worker Protection to implement strategic improvements for customers for DOHMH permits and license processing at Licensing Centers.

     

    - Assisting in responding to inquiries from the Department of Consumer and Worker Protection relating to licensing center workload.

     

    - Collaborating with multiple internal units and programs in researching, reviewing and compiling licensing histories using database records for recommendations of appeal and transfer requests.

     

    - Developing and updating manuals and protocols for efficient processing of license related records and training staff accordingly.

     

    - Making recommendations for efficiency and streamlining of workload utilizing reports and spreadsheets.

     

    - Performing and supervising staff in complex data entry functions for the Licensing and Permits program.

     

    - Supervising staff to ensure timely generation and mailing of license related correspondences to businesses.

     

    - Assisting in mailing correspondences when needed.

    PREFERRED SKILLS:

    - Highly proficient in multiple software applications including but not limited to:

    Microsoft Office Word, Excel, Outlook, Power Point. Knowledge of the Accela database system, ad hoc software programs relating to Mobile Handheld systems

     

    - 3 years or more Customer Service experience

     

    - 5 years or more supervisory experience

     

    - Ability to work independently

     

    - Preferred experience with NYC permits, licensing and Enforcement operations

     

    - Exceptional customer service and problem-solving skills

     

    - Excellent oral, written and interpersonal skills

    PRINCIPAL ADMINISTRATIVE ASSOC - 10124

    Qualifications

    1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or

    2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or

    3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;

    4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
