    Position Summary:

    The Emergency Department (ED) Registration Supervisor is responsible for assisting with planning, directing, organizing, monitoring and staffing in ED and Switchboard functions of Bozeman Health services subject to policies, budgets, objectives, and directives mandated by regulatory agencies, DNV, and the hospital administrative team. This position is responsible for ensuring a collaborative departmental approach to long-range strategic operational planning, care and service design and development of organizational policies, which reflect the mission of the organization. The role coordinates emergency and direct admissions processes, facilitates point-of-service collections, and ensures timely and accurate patient data entry. The Supervisor supports standardized workflows, including EMS coordination and unidentified patient protocols, and collaborates with departments across the organization to ensure alignment with best practices and regulatory compliance. This position plays a critical role in monitoring registration-related performance indicators and driving improvements in operational effectiveness and service excellence.

    Qualifications:

    Required:

    + Associate's degree in healthcare, business, human resources, or related field; an equivalent combination of education and experience will be considered.

    + Three (3) years of experience in healthcare billing, customer service, patient access, or clinical clerical coordination.

    Preferred:

    + Bachelor’s Degree in healthcare management, business, human resources, or related field.

    + Two (2) years of supervisory experience.

    + One (1) year of emergency department registration experience.

    + One (1) year of experience working with Epic.

    + Regulatory knowledge of Emergency Department admissions process (e.g., EMTALA).

     

    Essential Job Functions: In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

     

    + Assists department leadership with broad operations to ensure the provision of comprehensive departmental services in compliance with all regulatory agencies, CMS Mandates (EMTALA, MSPQ) and hospital requirements.

    + Ensures a collaborative departmental approach to long-range strategic operational planning, care and service design and development of organizational policies, which reflect the mission of the organization.

    + Coordinates and oversees the organization-wide departmental services. Continuously assesses, measures and improves departmental performance.

    + Demonstrates responsible management of all departmental resources.

    + Demonstrates clinical/technical and managerial competency. Ensures staff professional needs are met.

    + Leads, teaches, inspires, helps and consistently demonstrates hospital behavioral standards.

    + Monitors registration productivity, accuracy, and revenue cycle metrics including collection rates, HB CFB Days, denial rates, and point-of-service collection performance.

    + Coordinates and supervises 24/7 staffing coverage; responsible for scheduling, supply ordering, and supporting recruitment and training initiatives.

    + Analyzes productivity reports and dashboards to identify operational inefficiencies and develops plans for continuous improvement.

    + Collaborates with clinical and operational leadership to standardize and streamline workflows for registration and Switchboard functions.

    + Supports patient safety coordination by working closely with departments such as Security, Risk Management, and Quality.

    + Ensures timely processing of patient account changes and escalates unresolved patient access issues to the Patient Access System Manager.

    + Assists leadership in auditing registration trends and recommending staffing adjustments based on care area needs.

    + Supports on-call provider communication processes, emergency code communication, and public phone calls across Bozeman Health.

    + Responds to and resolves escalated patient concerns in a timely, compassionate, and professional manner.

    + Identifies trends in registration denials and implements strategies to prevent recurrence.

    Schedule Requirements

    + This role requires regular and sustained attendance.

    + The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts.

    + On-call work may be required to respond promptly to organizational, patient, or employee needs.

    + Cognitive Skills (Continuously): Learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions in the context of a workflow.

    + Exposures (Rarely): Bloodborne pathogens, such as blood, bodily fluids, or tissues. Radiation in settings where medical imaging procedures are performed. Various chemicals and medications are used in healthcare settings. Job tasks may involve handling cleaning products, disinfectants, and other substances. Infectious diseases due to contact with patients in areas that may have contagious illnesses.
